Hammerjack Pty Ltd in the Philippines is seeking an Insurance Virtual Assistant to support Australian insurance brokers and teams. The role focuses on admin, policy administration, and client communications, in a hybrid setup with on-site and work-from-home days.

You will help manage day-to-day operations, renewals, and client interactions, ensuring tasks are completed accurately and on time while maintaining confidentiality and high service standards.

Qualifications

• Previous experience as a Virtual Assistant or Administrative Assistant, ideally within the insurance industry.
• Understanding of insurance processes, including policy administration, renewals, and claims, is highly desirable.
• Excellent written and verbal English communication skills, with confidence supporting Australian clients.
• Strong organisational skills with exceptional attention to detail and the ability to maintain confidentiality.
• Experience using CRM systems, insurance management platforms (such as Insight, WinBEAT, or Sunrise), and collaboration tools including Microsoft Outlook, Teams, Slack, and Zoom.
• Ability to manage multiple priorities, work independently, and consistently meet deadlines in a fast-paced environment.

Responsibilities

• Provide day-to-day administrative support to brokers, advisors, and internal teams.
• Manage client enquiries, emails, and follow-ups with professionalism, accuracy, and timely communication.
• Prepare insurance documents, quotations, policy renewals, and claims-related documentation.
• Keep client information, databases, and documentation organised and up to date.
• Monitor renewal schedules, client activities, and key dates to ensure timely follow-up and action.
• Arrange appointments, meetings, and reminders to keep brokers and clients on track.
• Identify opportunities to enhance client communication, administrative processes, and overall service delivery.
