Job Description
- Prepare payroll. Review and compile employee changes, earnings, deductions, taxes, benefits, time records, and one-time payments.
- Manage payroll data. Enter, validate, and maintain payroll information within the applicable payroll, HRIS, and timekeeping platforms.
- Audit before finalization. Review payroll previews, control totals, and audit reports; identify discrepancies and drive corrections to completion.
- Reconcile results. Validate gross-to-net results, direct deposits, taxes, deductions, funding requirements, and payroll reports.
- Provide backup coverage. Confidently support or manage payroll processing when the Payroll Manager is unavailable.
- Communicate clearly. Respond promptly and professionally to questions from employees, managers, HR, Finance, and external partners.
- Resolve issues. Research payroll concerns, document findings, communicate next steps, and follow each issue through resolution.
- Support special payments. Assist with off-cycle payments, terminations, retroactive pay, bonuses, commissions, reimbursements, and corrections.
- Maintain controls. Follow payroll schedules, checklists, approvals, and internal controls while maintaining complete supporting documentation.
- Improve continuity. Create and maintain standard operating procedures, process notes, and cross-training materials that strengthen payroll coverage.
- Support reporting cycles. Assist with payroll reporting, audits, reconciliations, quarter-end, and year-end activities.
- Protect information. Handle employee and payroll data with discretion and maintain the highest level of confidentiality.
Skills
- Strong, hands-on experience preparing and processing payroll from input through final validation.
- Working knowledge of payroll calculations, taxation, deductions, direct deposits, garnishments, and payroll reconciliations.
- Proficiency with payroll, HRIS, and timekeeping platforms; ADP Workforce Now experience is strongly preferred.
- Strong written and verbal communication skills, including the ability to explain payroll matters clearly and empathetically.
- Exceptional accuracy, organization, confidentiality, and attention to detail.
- Ability to prioritize time-sensitive work, meet firm payroll deadlines, and work independently when needed.
- Proven ability to investigate discrepancies, make sound decisions, and follow issues through resolution.
- Ability to follow established procedures, maintain audit-ready support, and recognize when escalation is appropriate.
