Job summary

Arup in the Philippines seeks a Billing Assistant Manager to lead a billing team and drive invoicing targets aligned with the APAC region's objectives. The role collaborates with project teams and finance to ensure accurate and timely billing across multiple projects.

The position requires a strong accounting/finance background, 6–8 years of relevant experience with at least 2 years in supervision, and excellent leadership and communication skills.

Qualifications

• Bachelor's degree in accounting, finance or a related field.
• 6–8 years of relevant experience with at least 2 years in a supervisory role.
• Strong leadership and people management skills.
• Excellent communication and interpersonal skills.
• Strong analytical and problem-solving skills.
• Attention to detail and ability to meet deadlines.
• Experience in a shared service center environment preferred.

Responsibilities

• Review terms and conditions in contracts of new projects for job number creation in Progression and JDE.
• Maintain records of all project contracts including bid review, variation orders, payment schedules, and client correspondence.
• Prepare the monthly forecast invoicing of active projects for review with project teams.
• Join monthly meetings with Group Leader/Business Leaders to discuss forecasts and potential issues.
• Follow up with project teams on invoicing shortfall to ensure invoices meet monthly targets.
• Regularly review aged WIP with project teams/Group Leaders to plan recoveries and follow-up actions.
• Review credit notes/fee write-downs and supporting documents before approval.
• Collaborate with People and Payroll teams for monthly government site project invoices including salary, allowance and gratuity calculations.
• Respond to client invoicing inquiries in a professional and timely manner.
• Continuously evaluate and improve the invoicing process, exploring automation opportunities.
• Provide monthly/weekly reporting on invoicing and accounts receivable.
