Role
YAHSHUA Outsourcing Worldwide Inc. is looking for a highly organized and dependable Administrative Staff to support our day-to-day office operations. This role is responsible for maintaining an organized workplace, managing company documents, monitoring office facilities and supplies, coordinating administrative activities, and providing support to various departments to ensure smooth business operations.

Key Responsibilities
Office Management
- Maintain and monitor incoming and outgoing company documents through an organized document control system.
- Scan, archive, and properly file company documents while ensuring confidentiality and accessibility.
- Manage employee, visitor, and delivery logbooks.
- Coordinate document routing and notify departments of received documents.
- Monitor office cleanliness, orderliness, and overall office environment.
- Conduct regular inspections of office furniture, equipment, and company assets.
- Monitor inventory levels of office supplies, pantry items, and utilities.
- Coordinate replenishment of office supplies with the assigned personnel.
- Record and monitor the issuance of office supplies.
- Coordinate with external service providers for office maintenance and repair concerns (internet, plumbing, electrical, etc.).
- Assist in preparing meeting rooms and provide administrative support during meetings and company activities.
Administrative Support
- Assist the Payroll Team during payroll activities, including payslip folding every payroll period.
- Support the HR Team by monitoring probationary employee contracts and notifying the HR Officer of upcoming End of Contract (EOC), regularization, or renewal schedules.
- Assist in monitoring employee 201 file compliance and administrative access requests (Company Email, Pumble, Timekeeper, and Kiosk access).
- Serve as the point person for office-related audit requirements by preparing administrative documents and supporting evidence.
- Manage incoming and outgoing courier deliveries, parcels, and company mail.
- Assist in organizing meetings, trainings, company events, and employee engagement activities.
- Perform general administrative and office support duties as assigned.

Qualifications
- Bachelor's Degree in Business Administration, Office Administration, Management, or any related field.
- Previous experience in office administration, office management, or general administrative support is an advantage.
- Background in HR / HR administrative support is an advantage.
- Fresh graduates who are organized, eager to learn, and willing to be trained are encouraged to apply.
- General knowledge of office technology and productivity tools (e.g., Microsoft Office and Google Workspace).
- Strong organizational and time management skills with keen attention to detail.
- High level of integrity with the ability to handle confidential information.
- Adaptable, resourceful, and able to manage multiple priorities.
- Excellent communication and interpersonal skills.
