Job Summary
We are seeking a highly organized, trustworthy, and proactive Administrative Officer to oversee daily operational, financial, and human resources administration. In this role, you will play a key part in maintaining efficient office operations, handling financial transactions, managing essential record systems, and facilitating project oversight. The ideal candidate is detail-oriented, capable of managing confidential data, and comfortable balancing office duties with necessary field tasks.
Key Responsibilities
1. Office Operations & Correspondence
- Manage daily administrative operations to ensure smooth and uninterrupted workplace activities.
- Prepare, draft, and distribute memos, emails, reports, invoices, and other business correspondence.
- Coordinate budget planning and oversee procurement requests to ensure operational resources are always available when needed.
2. Document & Data Management
- Maintain accurate records, filing systems, and confidential company documents.
- Ensure strict data security and compliance with organizational policies and regulatory standards.
3. Financial Administration & Banking
- Manage basic payroll administration and financial reporting, ensuring complete data accuracy.
- Ensure strict compliance with relevant regulatory frameworks, including PAGCOR requirements.
- Handle company banking transactions, including cash and check deposits, withdrawals, and processing banking documents with high confidentiality and accuracy.
4. HR & Onboarding Support
- Support recruitment and onboarding activities by clearly communicating hiring processes and employment requirements to new hires.
5. Project Oversight & External Tasks
- Conduct on-site visits to offices to monitor project progress and ensure alignment with organizational goals.
- Regularly leave the office to attend to and complete various external administrative and regulatory requirements.
Qualifications & Requirements
- Experience: Proven experience as an Administrative Officer, Operations Assistant, or similar administrative role.
- Financial Acumen: Practical experience handling basic payroll, financial reporting, and banking tasks.
- Regulatory Compliance: Knowledge or experience dealing with regulatory compliance, specifically PAGCOR standards, is strongly preferred.
- Communication Skills: Excellent written and verbal communication skills for preparing reports, memos, and interacting with staff and external stakeholders.
- Mobility & Flexibility: Willingness and physical capability to leave the office regularly for external tasks, banking transactions, and site monitoring visits.
- Integrity & Confidentiality: High degree of honesty, reliability, and discretion when handling sensitive financial and employee data.
Organizational Skills:Strong multitasking abilities, attention to detail, and sound time-management skills.
