WTW Philippines is seeking an experienced executive assistant to provide proactive administrative support to Investments leaders and colleagues. The role requires high organization, responsiveness, and discretion to manage multiple priorities across the business.

You will coordinate complex calendars across time zones, arrange domestic and international travel, prepare presentations and reports, and maintain records and action trackers.

Qualifications

  • Bachelor's degree in a relevant field or equivalent work experience.
  • 7 years of executive administrative support experience.
  • Experience supporting senior leaders and managing complex administrative responsibilities.
  • Strong organizational and time management skills with the ability to prioritize competing demands in a fast-paced environment.
  • Proven experience managing calendars, travel, meetings, and expense processing.
  • Advanced proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint).
  • Knowledge of Microsoft Teams, SharePoint, and collaboration tools.
  • Excellent written and verbal communication; attention to detail.
  • Ability to handle confidential information with discretion and professionalism.
  • Strong analytical, problem-solving, and proactive decision-making skills.
  • Interpersonal and stakeholder management skills; engaging with colleagues and leaders.
  • Highly adaptable, resourceful, able to work independently.
  • Experience in project coordination or management preferred.
  • Strong business acumen to anticipate needs and improve processes.
  • Able to work in a hybrid work arrangement; Australia shift.

Responsibilities

  • Provide proactive administrative and executive support to Investments leaders.
  • Manage complex calendars across multiple time zones and coordinate meetings.

  • Maintain records, notes, action trackers, and document repositories.

Working Knowledge And Experience In Administrative Support Activities Including
  • Managing complex calendars, coordinating meetings across multiple time zones, and resolving scheduling conflicts.
  • Coordinating domestic and international travel arrangements, including flights, accommodations, transportation, and itineraries.
  • Processing and monitoring expense reports and reimbursements in accordance with company policies and deadlines.
  • Preparing, formatting, and reviewing presentations, reports, business correspondence, and meeting materials.
  • Coordinating leadership meetings, team meetings, workshops, and other business events, including logistics and stakeholder communications.
  • Maintaining accurate records, meeting notes, action trackers, and document repositories.
  • Acting as a key point of contact for internal and external stakeholders, ensuring timely and professional communication.
  • Supporting leaders with follow-up actions, task tracking, and prioritization of key business activities.
  • Handling sensitive and confidential information with discretion, professionalism, and sound judgment.
  • Supporting operational and project-related activities through coordination of actions, milestones, and deliverables.
  • Collaborating effectively with colleagues across different teams, functions, and locations to achieve business objectives.
  • Identifying opportunities to enhance administrative processes, improve efficiency, and support continuous improvement initiatives.
  • Delivering high-quality work while effectively managing multiple priorities and deadlines in a fast-paced environment.

Qualifications
The Requirements

  • Minimum of 7 years of experience providing executive administrative support in a corporate or professional services environment.
  • Demonstrated experience supporting senior leaders and managing complex administrative responsibilities.
  • Strong organizational and time management skills, with the ability to effectively prioritize competing demands in a fast-paced environment.
  • Proven experience managing complex calendars, travel arrangements, meeting coordination, and expense processing.
  • Advanced proficiency in Microsoft Office applications, including Outlook, Word, Excel, and PowerPoint.
  • Strong working knowledge of Microsoft Teams, SharePoint, and other collaboration tools.
  • Excellent written and verbal communication skills, coupled with strong attention to detail and the ability to produce high-quality documents and presentations.
  • Proven ability to handle highly confidential and sensitive information with discretion, integrity, and professionalism.
  • Strong analytical, problem-solving, and proactive decision-making skills.
  • Exceptional interpersonal and stakeholder management skills, with the confidence to engage effectively with colleagues and leaders at all levels.
  • Highly adaptable, resourceful, and capable of working independently with minimal supervision while maintaining a high standard of accuracy and service.
  • Experience in project coordination or project management, including tracking deliverables, managing stakeholders, and supporting cross-functional initiatives, is preferred.
  • Strong business acumen with the ability to anticipate needs, prioritize competing demands, and contribute to operational effectiveness.
  • Proven ability to build and maintain effective relationships with stakeholders across all levels of the organization.
  • Amenable to working Australia shift (6:00 AM – 3:00 PM Manila time).
  • Able to work in a hybrid work arrangement.
