The Accounting Systems Manager owns the administration, optimization, and integration strategy for the company's core financial systems, with NetSuite as the system of record. This role is responsible for maintaining and improving the connections between NetSuite and key operational platforms — Navan (travel & expense), Tipalti (accounts payable/global payments), UKG (HR & payroll), and Avalara (sales/use tax) — while also driving forward the accounting function's use of AI-powered tools, including Claude, to automate manual processes. This is a hands-on, technically minded role for someone who enjoys solving process problems at the intersection of finance, systems, and automation.
Key Responsibilities
Accounting Systems Administration
- Serve as primary system administrator for NetSuite, including user access/roles, workflows, saved searches, custom fields/records, and dashboards
- Maintain the chart of accounts, subsidiaries, and intercompany elimination structures; support multi-entity/multi-currency consolidation
- Manage NetSuite releases, sandbox testing, and change control to minimize disruption to close and reporting cycles
- Develop and modify NetSuite reports and saved searches to meet evolving accounting and business reporting needs
- Partner with the Controller and accounting team to translate process needs into scalable NetSuite configurations (vs. custom development where possible)
Third-Party Integrations
Serve as system administrator for Navan, Tipalti, and Avalara — including user setup and permissions, approval workflows, policy and rule configuration, and vendor/tax settings — and own and maintain the integrations between NetSuite and:
- Navan — travel and expense data flow, corporate card reconciliation, GL mapping
- UKG — payroll journal entries, headcount/labor allocation, benefits and deduction mapping
- Avalara — sales/use tax calculation, exemption certificate management, tax filing and returns data
- Troubleshoot integration failures, sync errors, and mapping discrepancies across these systems
- Work directly with Navan, Tipalti, UKG, and Avalara vendor support teams to resolve system issues and elevate as needed
- Evaluate new integrations, middleware, or API connections as the tech stack evolves
- Maintain documentation of data flows, field mappings, and system dependencies
- Serve as a point of contact for employee end users with Navan, Tipalti, and Avalara questions (e.g., expense report issues, account setup)
- Identify manual, repetitive accounting processes (reconciliations, journal entries, reporting, data validation) and design automated solutions
- Build and maintain AI-assisted workflows using Claude (or similar tools) for tasks such as document review, variance analysis, reconciliation support, and report drafting
- Develop lightweight tools/scripts (e.g., Excel automation, low-code apps) to bridge gaps between systems
- Track and report on efficiency gains and error reduction from automation initiatives
Cross-Functional Support
- Act as the finance-side liaison to IT, HR, and AP/Treasury teams on system changes affecting financial data
- Support month-end/quarter-end close by ensuring system integrations post accurately and on time
- Assist with audit requests related to system controls, access, and data integrity
- Train accounting staff on new tools, automations, and system functionality
Knowledge, Skills and Abilities Required
- 6+ years of experience in accounting or finance systems, with hands-on NetSuite administration experience; direct admin experience with Navan, Tipalti, or Avalara strongly preferred
- Demonstrated experience managing at least one of: Navan, Tipalti, UKG, or Avalara (or comparable T&E, AP, HRIS/payroll, or tax platforms)
- Strong understanding of accounting fundamentals (GL, AP, payroll journal entries, intercompany/consolidation concepts)
- Comfort working with APIs, integration platforms, or middleware concepts (even without deep coding background)
- Experience using AI tools (e.g., Claude, ChatGPT) for practical business/accounting use cases
- Strong Excel skills; SQL or scripting experience a plus
- Experience in a multi-entity or multi-currency environment
Education & Experience
- NetSuite certification (Administrator or SuiteFoundation)
- Background in a controllership or accounting operations function
What Success Looks Like
- NetSuite and its integrations run reliably with minimal manual intervention
- Close-cycle manual tasks are measurably reduced through automation
- Accounting team has clear, documented processes for how data flows across systems
- The organization has a growing, well-governed set of AI-assisted accounting workflows
