Job Summary
The Accounting Assistant provides administrative and accounting support to the Finance and Accounting Department by assisting in the accurate and timely recording of financial transactions, maintaining accounting records, preparing reports, and ensuring compliance with company policies and Philippine statutory requirements.
Key Responsibilities
General Accounting
- Assist in recording daily financial transactions in the accounting system.
- Prepare and maintain journals, ledgers, and supporting schedules.
- Verify the accuracy and completeness of accounting documents before processing.
- Assist in month-end and year-end closing activities.
- Maintain organized and updated accounting files and records.
Accounts Payable
- Process supplier invoices, payment requests, and reimbursements.
- Match invoices with purchase orders, delivery receipts, and other supporting documents.
- Prepare payment vouchers and monitor due dates of payables.
- Coordinate with suppliers regarding billing concerns.
Accounts Receivable
- Prepare customer billing and official receipts.
- Monitor customer accounts and follow up on outstanding receivables.
- Reconcile customer balances and resolve discrepancies.
Bank and Cash Management
- Assist in preparing daily cash reports.
- Perform bank reconciliations.
- Monitor petty cash and revolving funds.
- Prepare cash count and reconciliation reports when required.
Tax and Regulatory Compliance
- Organize supporting documents for tax filings and government audits.
- Ensure accounting records are properly filed for regulatory requirements.
Reporting
- Prepare financial schedules and reports as requested.
- Assist in preparing monthly management reports.
- Support internal and external audit requirements by providing necessary documentation.
Administrative Duties
- Maintain organized filing systems for accounting records.
- Coordinate with internal departments regarding financial transactions.
- Perform other accounting and administrative duties assigned by management.
Qualifications
- Bachelor's degree in Accountancy, Accounting Technology, Financial Management, or a related field.
- Fresh graduates are encouraged to apply; experience in accounting or bookkeeping is an advantage.
- Knowledge of Philippine accounting principles and taxation is preferred.
- Proficient in Microsoft Excel, Word, and accounting software.
- Experience with Quickbooks or accounting systems is an advantage.
