Overview
Creswood is an Australian accounting and advisory firm working with privately owned SME businesses typically ranging from $5m to $200m in turnover and 10 to 500 employees. We are seeking an experienced Practice Administrator to support the day-to-day operation of our accounting practice across workflow, client onboarding, recurring compliance administration, billing support, and document management. This role will work closely with our Australian-based accounting team and will have routine contact with clients for information gathering and administrative matters.
Key Responsibilities
Practice Workflow and Deadlines
- Maintain recurring work, due dates, statuses, information requests, and administrative dependencies within Karbon and other practice systems.
- Monitor upcoming and overdue actions and follow up the responsible team member or client where required.
- Maintain accurate client, entity, contact, and relationship records across Creswood systems.
- Identify workflow blockers early and keep the Australian-based team informed of matters that may affect delivery.
Client Onboarding and Records
- Coordinate new client onboarding from acceptance through to complete system setup.
- Prepare and issue approved proposals, engagement documents, and recurring service arrangements through Ignition or other approved systems.
- Coordinate ethical letters, agent nominations, authority forms, prior accountant handover requests, and other onboarding documents under Creswood direction.
- Create and maintain approved client folder structures, portal access, and system records.
- Track outstanding onboarding items through to completion.
Client Information and Communication
- Follow up outstanding information, signatures, and routine client actions in a professional and appropriately persistent manner.
- Coordinate meetings, calendar invitations, and supporting documents where required.
- Triage routine client enquiries and allocate technical matters to the appropriate Creswood team member.
- Prepare concise routine correspondence using approved templates and processes.
ATO, ASIC and Corporate Administration
- Monitor and triage routine ATO, ASIC, and other regulatory correspondence and allocate it promptly.
- Coordinate ASIC annual review administration, solvency documentation, and routine company register updates through BGL CAS 360 or other approved systems.
- Assist with approved ATO, ABR, and ASIC forms, registrations, updates, and authorisation processes where administrative in nature
- Maintain supporting registers, due dates, and evidence of approval, lodgement, or completion.
Billing and Practice Administration
- Support approved client fee schedules, proposals, invoice instructions, and recurring billing arrangements.
- Maintain Ignition billing schedules, invoice narrations, and administrative updates in accordance with approved engagement terms.
- Monitor debtor follow-up actions and issue approved reminders or escape matters where required.
- Maintain accurate internal registers, recurring operational checklists, and practice administration records.
Document Management
- Maintain documents in SuiteFiles, SharePoint, and other approved systems using Creswood folder structures and naming conventions.
- Assemble client packs, signature documents, and PDFs accurately and in the correct order.
- Ensure important client correspondence and signed documents are saved to the appropriate file and linked to the relevant workflow.
- Perform administrative completeness checks before files are progressed to accountants or reviewers.
Systems and Process Improvement
- Work across Karbon, Ignition, Xero Practice Manager, Xero Tax, SuiteFiles, SharePoint, Microsoft 365, BGL CAS 360, and other approved systems.
- Maintain standard templates, recurring checklists, client groups, and workflow procedures.
- Identify repetitive administrative issues and suggest practical process improvements.
- Protect confidential client and firm information and immediately escalater any suspected security, privacy, or access issue.
Internal Collaboration
- Work closely with accountants, managers, partners, and other support team members.
- Support team meetings, scheduling, action tracking, and recurring operational tasks where required.
- Provide reliable ad hoc practice support that is consistent with the administrative purpose of the role.
- Escalate tax, accounting, legal, commercial, or sensitive matters rather than making technical decisions independently.
Skills and Experience
Practice Administration
- 3+ years recent experience in administration, client services, or practice support within an Australian accounting, tax, or professional services firm.
- Strong understanding of recurring accounting practice workflows, client information requests, deadline management, and onboarding processes.
- Experience with ATO and ASIC administration and maintaining accurate client records.
- Ability to manage a high volume of recurring tasks with strong follow-through.
Systems
- Experience with Karbon or similar workflow and practice management software is strongly preferred.
- Experience with Ignition, Xero Practice Manager, Xero Tax, BGL CAS 360, SuiteFiles, SharePoint, or similar systems is desirable.
- Strong Microsoft Outlook, Word, and Excel capability.
- Ability to learn cloud-based practice systems quickly.
Client Service
- Experience coordinating client onboarding, information requests, document collection, and routine follow-up.
- Confidence communicating directly with Australian clients on administrative matters.
- Strong judgement regarding when to resolve a routine matter and when to elevate.
Communication
- Strong written and verbal English communication skills.
- Ability to prepare clear, professional client correspondence and internal updates.
- Professional and appropriately persistent approach to client follow-up.
