Job Summary:
An Absence Specialist executes the operational tasks of leave cases through collaboration with subject matter experts. This role will oversee associate absence related to Disability Leave as well as administer return-to-work services, monitor and maintain the Application Programming Interface, evaluate safety events for Workers’ Compensation need and maintain regular reporting in compliance with federal requirements. The Absence Specialist will also manage content for our HR ServiceNow database and administer trainings as needed.
Essential Functions:
Primary point of contact for escalated pay-related issues, to include all leave types, pay. Responds to inquiries, phone calls, and emails in a timely manner, providing superior customer service and expert consultation to employees and leaders to resolve issues. Partners with team members to resolve escalated issues at all levels to include legal and vendor partners.
- Analyze leave-of-absence data using tools like Workday, Dimensions, and vendor portals to ensure compliance with federal, state, and company policies, including those for union-represented associates, in alignment with Collective Bargaining Agreement. Conducts audits for accuracy and policy adherence, escalating inconsistencies as needed.
- Oversee pay-related processes for leaves of absence, including special pay situations such as administrative leave, military supplemental pay, Mission pay, retroactive adjustments (historical corrections), overpayments, workers’ compensation buybacks, and salary continuation which emphasizes teamwork with payroll to address errors, ensure accuracy, and audit API reports for accuracy/compliance.
- Build and maintain strong relationships with vendors and internal stakeholders to facilitate effective and compliant leave pay processes including support of outsourced leave management and pay automation strategies.
- Collaborate with HR ServiceNow stakeholders and vendor partners to effectively and efficiently resolve complex issues and provide detailed guidance and consultation to managers on leave-related matters such as absent without leave (AWOL), and leave pay.
- Monitor and audit vendor-reported data for accuracy, ensuring alignment with organizational policies, federal and state laws, and collective bargaining agreements ensuring accuracy by adhering to actionable standard operating procedures.
- Create and test Leave of Absence pay cascades to facilitate the organizations initiatives for paid leave benefits and collaborates with the vendors API team to ensure all new pay programs or leave pay changes are implemented timely and accurately through automation.
- Support paid time-off (PTO, LTO, ATO) programming by managing annual cash-out programs, upholding a database of labor differences, prepare rosters for workforce transitions and maintaining a time-off dashboard.
- Review Workforce Safety events in Safecare daily and submit appropriate Safecare events to TPA for incident only and new claim reporting including collaboration with key stakeholders for post-accident investigations and safety concerns for workers’ compensation claims.
- Maintain daily Occupational Health and Safety Administration (OSHA) record keeping for all required locations within Safecare as well as collaborate with on-site stakeholders within each facility during federal surveys. Conduct semi-annual audits of OSHA logs ensuring accuracy.
- Complete OSHA 300A summary forms and collaborate with HR for annual compliance posting including annual OSHA required electronic filing of OSHA logs and annual federal surveys (i.e. Bureau of Labor Statistics).

Education:
- Bachelor’s degree in human resources or other business-related degree (required)
Required Licensing & Certifications:
- DMEC (Disability Management Employer Coalition - Certified Leave Management Specialists (CLMS) (preferred)
Experience:
- 2 years of absence/leave management and workplace ADA accommodations in a global shared service environment (required)
Skills & Abilities:
- Proficient in Microsoft Office suite
- Experience with Workday HRMS
