Job summary

Wilh. Wilhelmsen Holding ASA seeks an energetic Port Operations specialist to manage overall service operations for designated ports in Oman. You will coordinate vessel calls, supervise contractors, ensure WASP compliance, and drive efficient, safe port calls for ship-owners, charterers, and authorities.

You will coordinate documentation, monitor costs, and maintain vessel files while upholding QHSSE standards. Oman experience and strong English communication are highly valued for this role.

Qualifications

  • Maritime background and ships agency operations experience.
  • Oman experience is a plus.
  • Good communication skills and English proficiency (oral and written).
  • Process and system understanding.
  • Self-motivated and results oriented; proactive and anticipates issues.
  • Ability to work under pressure with strong problem-solving skills.

Responsibilities

  • Attend and board vessels as required by Manager/Supervisor per SOP and customer requirements.
  • Coordinate assigned port calls effectively.
  • Select contractors for goods and services and submit competitive quotations as required.
  • Ensure WASP usage and compliance with SOP across port calls.
  • Monitor vessels and follow up on inquiries and actions.
  • Manage pre-funding and authority approvals prior to port calls and during sailing.
  • Maintain vessel files and real-time transactional systems.
  • Provide proactive, timely communication and report leads and opportunities.
  • Record expenses during port calls and ensure cash handling per procedures.
  • Review supplier invoices for accuracy and cost-efficiency in vessel operations.
  • Comply with PPE standards and TAKe 5 for safety and QHSSE in own function.

About the role

We are looking for an energetic colleague for an operational role within our Port Operations Department. The role will be responsible to manage overall service operations continually driving service quality of resources and efficient services provided to ship-owners, charterers, ship masters, terminals, shippers, receivers, relevant authorities, and service providers within designated ports and Oman geometry.

Main responsibilities
  • Attend and board vessels as required and as directed by respective Manager/Supervisor, in accordance with our SOP and Customer Requirements.
  • Responsible for the effective coordination of assigned port calls.
  • Advice on selection of contractors for goods and services provided to principals, including submission of competitive quotations, as required.
  • Ensure compliance with Port Services processes, standards and procedures, including correct use of the internal operating system (WASP).
  • Ensure mandatory use of WASP as reporting tool in compliance with the SOP.
  • Ensure proper monitoring of the vessel and attendance to any follow up enquiries.
  • Ensure correct amount of pre-funding are received or the correct level of authority has approved any deviation, prior to performing the Port Call.
  • Same to be ensured when additional funding required prior vessel’s sailing.
  • Establish and maintain vessel’s files and ensure that all transactional systems are updated real time.
  • Ensure proactive, efficient and timely communication at all times.
  • Report leads, business opportunities and relevant port updates observed to Manager/Supervisor.
  • Monitor and record expenses that arises during vessels’ port call.
  • Ensure Cash-in-Transit (Cash to Master) as per WPS procedure.
  • Proactively follow up, check and approve supplier’s invoices.
  • Ensure cost effectively Vessel Operations.
  • Comply with WPS PPE Standard when working in ports/onboard vessels.
  • QHSSE matters in own function – use of TAKE 5 as appropriate.
  • Provide input to improve the operational and cost efficiency of the port call
Accountabilities
  • Ensure consistent high level of accuracy of deliverables.
  • Meet or exceed annual KPI’s targets for Port Services performance.
Qualifications
  • Maritime background and experience from Ships Agency Operations.
  • Oman experience is a plus.
  • Good communication skills and command of the in English language (oral and written).
  • Process and system understanding.
  • Self-motivated and result orientated.
  • Proactive and possesses ability to anticipate issue to facilitate preventive measures.
  • Ability to work under pressure.
  • Problem solving skills with ability to make fast and sound judgement.
  • Ability to effectively plan & direct an operation without compromising on safety to personnel and vessel.
  • Good motivator and team leadership skills.
  • Familiar with Port & local Authorities regulations, procedures and governing tariffs.
  • Computer literate.
