The Project Coordinator provides end-to-end operational governance and administrative project controls across complex enterprise software engineering, systems infrastructure, and IT modernization workstreams. In this role, you will be responsible for orchestrating day-to-day coordination between technical architects, development squads, quality assurance professionals, external vendor partners, and client stakeholders. You will establish and maintain comprehensive action, decision, risk, issue, and dependency (ADRID/RAID) logs, ensuring that potential delivery roadblocks and critical path bottlenecks are proactively identified, escalated, and resolved before impacting scheduled completion dates.
Operating across all phases of the project lifecycle from initiation to post-implementation review, you will oversee master project schedules, progress trackers, and milestone governance frameworks. Your day-to-day responsibilities include authoring high-precision meeting minutes, publishing weekly executive dashboards, facilitating structured steering committee sessions, and managing project repository documentation. The scope demands an organized professional capable of enforcing standardized project controls, supporting agile sprint cadences, and maintaining delivery transparency, thereby serving as an indispensable anchor for large-scale enterprise IT transformations throughout the Sultanate of Oman.
Key Responsibilities:
- Establish, maintain, and govern comprehensive tracking logs for project actions, decisions, risks, issues, and dependencies (ADRID / RAID).
- Author, record, and distribute detailed meeting minutes, capturing critical action items, ownership assignments, and resolution deadlines.
- Develop, maintain, and update consolidated project delivery trackers, resource allocation schedules, and milestone roadmaps.
- Coordinate cross-functional interactions between software engineering teams, IT infrastructure leads, business analysts, and executive stakeholders.
- Enforce administrative project controls, documentation standards, and change management procedures across all active IT workstreams.
- Prepare and publish standardized weekly and monthly executive status reports, KPI scorecards, and project health dashboards.
- Facilitate recurring project standups, progress reviews, risk mitigation workshops, and stakeholder alignment meetings.
- Track project dependencies and critical milestones to proactively mitigate timeline slippage and scope creep.
- Maintain centralized project repositories, technical documentation archives, and asset registers on enterprise platforms.
- Support project managers and program directors in budget expenditure tracking, procurement paperwork, and contractor coordination.
Required Qualifications & Skills:
- Bachelor’s degree in Information Technology, Computer Science, Business Administration, Engineering, or a closely related field.
- Minimum of 3 to 6 years of progressive professional experience in IT project coordination, project management support, or PMO operations.
- Proven track record in managing project governance artifacts, specifically action logs, decision registries, and RAID matrices.
- Demonstrated ability to author concise, high-precision meeting minutes and operational delivery trackers under tight turnaround times.
- In-depth practical experience in project scheduling, critical path tracking, milestone management, and progress reporting.
- Strong background in multi-stakeholder coordination across distributed IT engineering, vendor, and business management teams.
- Advanced proficiency with project management and collaboration platforms (such as Jira, Confluence, Asana, Trello, or Microsoft Project).
- Exceptional organizational capabilities, analytical problem-solving skills, and superior verbal and written communication abilities.
Nice-to-Have Skills:
- Recognized project management credentials such as CAPM (Certified Associate in Project Management), PMP, PRINCE2 Foundation/Practitioner, or Scrum Master (CSM/PSM).
- Practical experience working within agile and hybrid delivery environments, supporting Scrum ceremonies and backlog management.
- Advanced spreadsheet modeling and data visualization skills using Microsoft Excel (pivot tables, complex formulas) or Power BI.
- Direct industry experience supporting large-scale enterprise IT or digital transformation programs within Oman or the GCC region.
- Familiarity with IT service management frameworks (ITIL) and enterprise software development lifecycles (SDLC).
