Paralegal & Administrative Assistant
About the Role
We are seeking a highly organized, detail-oriented, and professional Paralegal & Administrative Assistant to support the legal and administrative operations of an international law firm in Muscat, Oman.
The successful candidate will work closely with lawyers, clients, government authorities, regulatory bodies, and external service providers. The role combines paralegal support, legal documentation, case management, client communication, and general administrative responsibilities.
Key Responsibilities
- Assist lawyers in preparing, reviewing, formatting, and proofreading legal documents, contracts, agreements, memoranda, and correspondence.
- Conduct legal and regulatory research as directed by lawyers.
- Organize and maintain physical and electronic case files and legal records.
- Prepare legal forms, applications, and supporting documents for submission to government authorities and regulatory bodies.
- Track legal deadlines, court dates, hearings, and filing requirements.
- Coordinate document execution, notarization, certification, and legalization processes.
- Liaise with government entities, courts, regulatory authorities, and external service providers when required.
- Monitor legal and regulatory updates relevant to the firm's practice areas.
- Manage incoming calls, emails, correspondence, meetings, and appointments.
- Coordinate calendars and travel arrangements for lawyers and management.
- Prepare meeting agendas, minutes, and follow-up action items.
- Support client onboarding, engagement letters, and related administrative documentation.
- Assist with billing and invoice preparation by collecting matter-related information.
- Maintain office filing systems and document management procedures.
- Provide professional support to clients and visitors and respond to client inquiries in a timely manner.
- Maintain strict confidentiality of client information and firm records.
- Support general office administration and procurement activities.
Requirements
- Bachelor's degree or Diploma in Law, Legal Studies, Business Administration, or a related field.
- 3–5 years of relevant experience in a law firm, legal department, or professional services environment.
- Experience in legal documentation and administrative support.
- Familiarity with Omani legal and regulatory procedures is preferred.
- Paralegal certification is an advantage.
- Fluent English communication skills are mandatory.
- Strong Arabic language proficiency is preferred.
- Strong legal drafting and document management skills.
- Proficiency in Microsoft Office, including Word, Excel, PowerPoint, and Outlook.
- Excellent organizational and time-management skills.
- Strong attention to detail and accuracy.
- Ability to manage multiple tasks and work effectively under pressure.
- High level of integrity, discretion, and confidentiality.
- Professional appearance and strong client-service orientation.
