Job summary

Swissport New Zealand in Auckland is seeking a Workforce Coordinator to join our Operations team. You will adjust rosters in real time, plan staffing up to 72 hours ahead based on live flight schedules, and ensure coverage across Passenger and Ramp Services.

You will monitor flight schedules, load factors, baggage and freight, collaborate with Duty Managers, and maintain accurate allocation sheets. The role requires calm, data-driven decision making, strong organisation, and a flexible, 24/7

Responsibilities

  • Proactively review and adjust rosters with a 72-hour forward-planning scope.
  • Monitor flight schedules, load factors, baggage and freight to align staffing.
  • Refine resource plans in response to disruptions and irregular operations.
  • Collaborate with Duty Managers and operational leads to communicate workforce plans.
  • Create and maintain allocation sheets with real-time updates.
  • Manage same-day staffing gaps via reallocation or additional hours.
  • Allocate tasks considering fatigue, qualifications, experience and leave.
  • Update rosters in the Swissport rostering portal accurately and timely.
  • Prepare end-of-shift reports detailing manpower usage and variances.
  • Ensure assignments meet safety, compliance and contractual standards.
  • Monitor break compliance and rostering rules per Collective Agreement.
  • Promote fairness and transparency in workload distribution.
  • Conduct timesheet checks and communicate break times and roster changes.
  • Raise grievances to leadership in a timely and professional manner.
  • Maintain open communication with staff and leadership throughout shifts.
  • Identify opportunities to improve safety, efficiency and team performance.
  • Provide support for additional operational needs as required.

Join the fast-paced world of airport operations as a Workforce Coordinator within our Operations team. This key role ensures we have the right people in the right place at the right time — adjusting rosters in real time and planning workforce coverage up to 72 hours ahead, based on live flight schedules and operational demands. You'll manage manpower planning, communicate with airline partners and airport stakeholders, and support internal teams to keep operations running smoothly. You'll be the go-to for coordinating daily flight service data, responding to shifting priorities, and ensuring staffing levels meet both operational and financial targets. We're looking for someone who thrives in a dynamic, high-pressure environment — someone who is organised, solutions-focused, and confident making fast, data-driven decisions.

Your activities include:

  • Proactively review and adjust rosters with a 72-hour forward-planning scope to ensure effective coverage across all operational areas, including Passenger and Ramp Services.
  • Monitor key operational drivers such as flight schedules, load factors, baggage volumes, and freight loads to ensure resourcing aligns with daily service requirements.
  • Continuously assess and refine resource plans in response to disruptions such as off-schedule flights, gate or bay changes, and irregular operations.
  • Collaborate closely with Duty Managers, Supervisors, and operational leads to ensure workforce plans are clearly communicated and effectively executed across all teams.
  • Create and maintain accurate allocation sheets reflecting both initial and real-time updates, ensuring transparency for all team members.
  • Manage same-day staffing gaps through reallocation of on-shift resources, approved call-ins, or additional hours in line with rostering guidelines.
  • Allocate tasks with consideration for fatigue management, work patterns, qualifications, experience, and approved leave.
  • Update rosters in the Swissport rostering portal to reflect any changes accurately and in a timely manner.
  • Prepare end-of-shift reports detailing manpower usage, variances from planned rosters, and any operational challenges encountered.
  • Ensure all task assignments are completed by appropriately qualified team members and meet safety, compliance, and contractual standards.
  • Monitor and manage break compliance, shift limits, and other rostering rules in accordance with the Swissport Collective Agreement and local procedures.
  • Promote fairness, consistency, and procedural transparency in the distribution of work and ad-hoc task assignments.
  • Conduct timesheet checks at the start and end of shifts, and proactively communicate break times and roster changes to staff.
  • Raise any grievances or concerns with your leader in a timely and professional manner.
  • Maintain open, regular communication with both team members and the leadership group throughout the shift.
  • Identify opportunities to improve safety, efficiency, and team performance, particularly in relation to workforce planning and operational delivery.
  • Provide support for additional operational needs as required — this is a dynamic role, and flexibility is key.

  • Solid computer literacy – particularly with Excel and Outlook – and a high level of accuracy in all admin and reporting tasks.
  • Strong interpersonal skills – you're approachable, collaborative, and able to build productive working relationships across all levels.
  • A self-motivated, independent work style – you can take initiative and follow through on tasks without needing close supervision.
  • You must enjoy a challenge!
  • Sharp problem-solving abilities – you're quick-thinking, calm under pressure, and can adapt plans without losing focus on the bigger picture and can pivot from task to task easily.
  • A commitment to fairness and equity – especially when it comes to workload distribution and task allocation across the team.
  • Hands-on airport operations experience, ideally with knowledge across both Passenger Services and Ramp operations - preferred.
  • A sound understanding of workforce rostering and planning, including how to apply Employment Agreement guidelines to rostering decisions - preferred.
