The role blends systems administration, data quality, and training logistics, with opportunities to drive improvements and efficiencies within the Workforce team.

Qualifications

  • Experience in administration, workforce systems, or training coordination.
  • Exposure to an HRIS platform such as ELMO or Human force (highly regarded, not essential).
  • Experience coordinating bookings, schedules, or logistics across multiple sites or regions is a bonus.
  • A sharp eye for detail and accuracy when working with data and systems.
  • Strong organisational and time-management skills, and a knack for juggling competing priorities.
  • Confidence with Microsoft Office (especially Excel) and a willingness to get to grips with new systems.
  • Clear, professional communication skills for liaising with managers, trainers, and regional teams.

Responsibilities

  • Maintaining accurate, complete employee data in our HR systems, and proactively chasing down any gaps.
  • Managing ELMO user access, permissions, and system configuration, and troubleshooting issues as they arise.
  • Running regular audits and exception reports to catch discrepancies before they become problems.
  • Coordinating new starter training bookings in line with onboarding timelines.
  • Managing changes, cancellations, and rescheduling of training, liaising with facilitators, venues, and attendees.
  • Recording and reporting training non-attendance to appropriate Managers, and escalating recurring patterns.
  • Keeping oversight of the training calendar and booking training rooms and venues across all regions.
  • Maintaining audit-ready documentation and supporting compliance activities across the Workforce team.
  • Spotting opportunities to improve data quality, systems, and processes – and helping put them into action.

Workforce Administrator (Training/Systems)

Pact is a leading provider of community, vocational, and residential services for people with intellectual disabilities, mental health challenges, and addictions.

Our Head Office team in Dunedin provides critical support to operations across Southland, Otago, the West Coast, the Upper South Island, and the Lower North Island.

We're looking for a Training & Workforce Systems Coordinator to join our Workforce team in Dunedin. This is a behind-the-scenes role at the heart of how our business runs – keeping our HR systems accurate, our training calendar on track, and our workforce data audit-ready, so the wider team can focus on supporting our people.

About the role

Reporting to the General Manager Workforce, you'll be responsible for the integrity of our workforce systems and data (including ELMO and Human force), and for supporting the booking and scheduling of training across the business. It's a varied, detail-driven role that blends systems administration, data quality, compliance support, and training logistics – and no two days will look quite the same.
