Job summary

Ovation New Zealand Limited in Hastings, Hawke's Bay, is seeking a full-time Shipping Coordinator to support our sales and export operations. The role will manage the Pasture Petfoods exporting arm and cover other shipping tasks, liaising daily with loadout teams, sales and finance staff in a busy environment.

You will ensure accurate documentation, invoicing, and compliance with market access rules, while maintaining records and supporting cross-functional teams.

Qualifications

• Experience in shipping or logistics is beneficial.
• Strong organisational skills and attention to detail.
• Proficient in Excel and MS Office.
• Ability to work independently and in a team.

Responsibilities

• Manage the order-to-delivery shipping process, including invoicing, inventory management, and shipping documentation
• Liaise with internal and external customers, providing updates on loadout status and resolving issues
• Prepare and process shipping docs such as customs clearance forms, bills of lading, and invoices
• Maintain records and databases related to shipments and inventory
• Collaborate with the technical team to ensure compliance with market access regulations
• In-market invoicing and documentation
• Chase up payments from customers where necessary

About the role

This full-time, permanent position is based in Hastings, Hawke's Bay, and is critical to supporting the company's sales and export operations. The majority of this role will involve managing the Pasture Petfoods exporting arm of our business, but you will also cover other shipping tasks/roles as needed.

You will communicate daily with our site loadout teams and sales & finance staff in a varied, busy role.

What you'll be doing

• Manage the order-to-delivery shipping process, including invoicing, inventory management, and shipping documentation
• Liaise with internal and external customers, providing updates on loadout status and resolving any issues
• Prepare and process all necessary shipping documentation, such as customs clearance forms, bills of lading, and commercial invoices
• Maintain accurate records and databases related to shipments and inventory
• Collaborate with the technical team as required to ensure compliance with all relevant market access regulations
• In-market invoicing and documentation
• Chase up payments from customers where necessary

What we're looking for

• Some experience in a shipping or logistics role would be useful, but not essential
• Strong administrative and organisational skills with excellent attention to detail
• Excellent communication and interpersonal skills to liaise with a variety of stakeholders
• Proficient in using excel, and other Microsoft programmes
• Ability to work independently and as part of a team to meet deadlines
• Adaptable to changes and able to find solutions to problems
• Willingness to help other team members through busy periods
• Previous experience working with Letters of Credit will be highly regarded
