Job summary

The University of Auckland is seeking a Senior Clinic Administrator to support the Optometry Clinic within the Faculty of Medical and Health Sciences. You will manage patient reception, appointments and daily clinic operations.

You will handle invoicing, payments, external claims and maintain patient confidentiality while supporting clinical teams. Experience in busy administration and health sector is advantageous.

We are seeking an enthusiastic Senior Clinic Administrator to support the University of Auckland Optometry Clinic within the Faculty of Medical and Health Sciences.

You will play a vital role in the day-to-day operations of our student-led teaching clinic. This role is responsible for patient support, administration, reception, and the daily activities that keep our busy and diverse clinic running smoothly. Supporting our Optometry Clinic, you'll enjoy a variety of tasks, work with a diverse patient population, and be part of a unique environment that delivers high-quality clinical services while helping students achieve the clinical competencies required for course completion.

In essence, you'll be helping to support the training and development of the future allied health workforce.

Key responsibilities include

  • Front-of-house and reception responsibilities.
  • Liaising with patients and providing information about our services.
  • Appointment scheduling and diary management across multiple user groups.
  • Invoice processing and payment collection.
  • Processing external claims.
  • Managing Healthlink referrals to Health NZ and other external agencies.
  • Ensuring patient confidentiality protocols and requirements are adhered to.
  • Obtaining and maintaining appropriate consent and documentation prior to service delivery.
  • Supporting clinical teams with the preparation and distribution of clinical correspondence.
  • Maintaining Health and Safety standards in line with University and legislative requirements.

This is a fulltime, permanent position

The salary range for this role is $61,701 - $71,000 depending on skills and experience.

You’ll have experience in a busy administration, reception or customer-facing role and enjoy working in a fast-paced environment where no two days are the same. In addition, you’ll bring:

  • Previous experience in the health sector would be advantageous.
  • Experience processing financial transactions.
  • Experience using patient management systems or similar databases.
  • Experience supporting multiple Optometry services or comparable clinical environments.
  • Strong proficiency across the Microsoft Office suite.
  • A professional and confident phone manner.
  • Excellent organisational skills and a strong commitment to providing outstanding service.
