Job summary

Switch Lighting in Nelson, New Zealand, is seeking aSales Administrator to manage trade customer inquiries, orders and documentation. You will work closely with Stores, Dispatch and Production to ensure accurate and timely fulfilment of customer orders.

Qualifications

Responsibilities

  • Be the first point of contact for trade customers and provide product knowledge.
  • Respond to telephone and email enquiries promptly and professionally with accurate product information.
  • Manage export orders and related documentation; assist with quoting.
  • Process incoming customer purchase orders in the ERP system and generate documentation for Stores & Production.
  • Ensure sales order information is complete and accurate; resolve discrepancies before orders move to Production or Dispatch.
  • Monitor outstanding orders and follow up on escalated issues affecting customer expectations.
  • Communicate order status and updates to customers as required.
  • Support Stores & Dispatch during busy periods and for holiday or sickness cover.
  • Collaborate with Stores, Dispatch and Production to fulfil orders in a timely, accurate manner.

Key responsibilities
  • Be a first point of contact for trade customers, building product knowledge to become a trusted resource for day-to-day enquiries and support
  • Respond to telephone and email enquiries promptly, professionally and knowledgeably with accurate, relevant product information
  • Manage export orders and associated documentation and assist with the quoting process as required
  • Process incoming customer purchase orders accurately in the ERP system and produce relevant documentation for Stores & Production
  • Ensure sales order information is complete and accurate, identifying and resolving discrepancies before orders progress to Production or Dispatch
  • Monitor outstanding orders and proactively follow up or escalations issues that may impact agreed customer expectations
  • Communicate order status and relevant updates to customers as required
  • Provide additional support to the Stores & Dispatch team during busy periods and for holiday or sickness cover
  • Work collaboratively with Stores, Dispatch and Production to support the timely and accurate fulfilment of customer orders
About you
  • Previous experience in sales administration, order processing or a similar office-based customer support role is preferred
  • Confidence using Microsoft Office Suite and the ability to learn ERP and product systems quickly
  • Experience with accurate data entry and order processing
  • Strong written and verbal communication skills
  • Confidence working with numbers, pricing and product information
  • A genuine customer-first attitude
  • A strong team player who is willing to roll up their sleeves and help wherever required
  • Practical and proactive, with a positive, can-do approach
  • Strong attention to detail with a high level of accuracy
  • Well organised, with the ability to prioritise and manage competing demands
