Job summary

Hanlon Plumbing and Pipe Services Limited in Christchurch, South Island, is seeking a proactive assistant to the Mechanical Project Manager. You’ll help coordinate multiple projects from planning and procurement through to installation, commissioning and handover.

Your role blends quantity surveying support with general project coordination: tracking costs, preparing variations, coordinating materials, maintaining documentation, and keeping office and site teams aligned to deliver projects

Qualifications

  • Background in quantity surveying with willingness to take on general project coordination duties
  • 2-4 years’ experience in construction or building services; HVAC experience is a plus
  • Ability to hold people accountable and follow up on actions while maintaining relationships
  • Experience supporting cost tracking, variations, progress claims and procurement
  • Strong attention to detail and comfort with numbers, spreadsheets and project documentation
  • Excellent organization and time management across multiple projects
  • Clear communication with site teams, suppliers and subcontractors
  • Experience using Project Management software
  • Problem-solving mindset and initiative to identify issues before delays

Responsibilities

  • Quantity Surveying & Cost Control: assist with progress claims and variation pricing, track expenditure and commitments
  • Project Coordination: support scheduling, milestones, and actions across multiple commercial projects
  • Documentation & Reporting: maintain RFIs, variation registers, minutes, progress reports and project records
  • Quality Assurance: coordinate QA inspections, checklists and sign-offs, track defects
  • Team Support & Scheduling: assist with timesheet reviews, workforce planning and liaise with site teams and trades
  • Health & Safety: maintain site safety docs, Site-Specific Safety Plans and hazard registers
  • Project Handover: coordinate commissioning records, warranties and O&M manuals

About the Role

You’ll be the Mechanical Project Manager’s right-hand person, helping coordinate multiple projects from planning and procurement through to installation, commissioning and handover.

Combining quantity surveying support with general project coordination, you’ll help track costs, prepare variations, coordinate materials, maintain documentation and keep communication flowing between the office and site teams.

It’s a varied, hands‑on role for someone who enjoys taking ownership, following things through and helping deliver projects safely, on time and within budget.

What You Will Do
  • Quantity Surveying & Cost Control: Assist with progress claims and variation pricing. Track project expenditure and commitments, flagging potential budget issues early.

  • Project Coordination: Support the Mechanical Project Manager with scheduling, tracking milestones and following up outstanding actions across multiple commercial projects.

  • Documentation & Reporting: Maintain RFIs, variation registers, meeting minutes, progress reports and project records, ensuring information is accurate and up to date.

  • Quality Assurance: Work with site teams to ensure QA inspections, checklists and sign-offs are completed and recorded. Track defects and outstanding items, following up to ensure they are resolved before handover.

  • Team Support & Scheduling: Assist with timesheet reviews and workforce planning, and liaise with site supervisors, tradespeople, suppliers and subcontractors to keep work progressing.

  • Health & Safety: Help maintain site safety documentation, including Site-Specific Safety Plans and hazard registers, and support the coordination of safety requirements.

  • Project Handover: Coordinate commissioning records, warranties, operation and maintenance manuals and other completion documentation.

What We’re Looking For

Above all, we’re after someone proactive, organised and willing to get involved across both commercial support and general project coordination.

You’ll bring:

  • A background in quantity surveying with a willingness to take on general project coordination duties, or project coordination experience with practical exposure to quantity surveying.

  • Ideally, 2-4 years’ relevant experience in construction or building services. Mechanical or HVAC experience would be an advantage.

  • The confidence to hold people accountable, follow up on outstanding actions and ensure commitments and deadlines are met, while maintaining positive working relationships.

  • Experience supporting cost tracking, variations, progress claims and procurement.

  • Strong attention to detail and confidence working with numbers, spreadsheets and project documentation.

  • Excellent organisation and time management skills, with the ability to manage competing priorities across multiple projects.

  • Clear communication skills and the confidence to follow up with site teams, suppliers and subcontractors.

  • Experience using Project Management software

  • A practical approach to problem‑solving and the initiative to identify issues before they cause delays.
