Job summary

HV Power is seeking a Project Administrator to join our Mangere, Auckland team on a full-time basis. The role supports project delivery, documents management, scheduling and liaison with clients and stakeholders to ensure smooth operations.

The ideal candidate brings 2–3 years of project administration experience, strong MS Office skills, attention to detail and the ability to work both independently and in a collaborative team environment.

Qualifications

  • 2–3 years' experience in project administration or contracts administration.
  • Proficient with Microsoft Office and project management software/tools.
  • Excellent organizational skills with ability to manage multiple tasks and meet deadlines.
  • Strong written and verbal communication with diverse stakeholders.
  • Experience in contracts administration, document management and compliance tracking.
  • High accuracy with financial records and confidentiality.
  • Database management and data entry skills.

Responsibilities

  • Coordinate and schedule project meetings, site visits and client engagements.
  • Prepare and organize project documentation, contracts and reports.
  • Support contract administration: track terms, deadlines and renewals.
  • Manage project budgets and expenditure tracking with variance analyses.
  • Maintain accurate project records and databases, ensuring security and accessibility.
  • Provide admin support to project managers, including agendas and minutes.
  • Monitor timelines and milestones, flag delays and upcoming deadlines.
  • Coordinate communication between internal teams, clients, contractors and suppliers.
  • Process invoices and purchase orders per company procedures.
  • Assist with proposal, tender and bid documentation preparation.

About the role

HV Power is seeking a Project Administrator to join our team on a full-time basis at our office located in Mangere, Auckland. This is a key administrative position that will support the efficient management and coordination of our project activities. As a Project Administrator, you will play a crucial role in ensuring that our projects run smoothly by providing comprehensive administrative support, managing documentation, coordinating schedules, and liaising between project teams, stakeholders and clients. This position is integral to maintaining the operational effectiveness and professional delivery of our projects.

Key responsibilities
  • Coordinate and schedule project meetings, site visits and client engagements, ensuring all participants receive timely notifications and documentation
  • Prepare, maintain and organize project documentation, including contracts, agreements, correspondence, reports and records in compliance with company standards
  • Support contract administration activities, including tracking contract terms, deadlines, deliverables and renewal dates
  • Manage project budgets and expenditure tracking, preparing financial reports and variance analyses as required
  • Maintain accurate project records and databases, ensuring information is current, secure and readily accessible
  • Provide administrative support to project managers and stakeholders, including preparing presentations, agendas and minutes
  • Monitor project timelines and milestones, alerting relevant parties to upcoming deadlines and potential delays
  • Coordinate communication between internal teams, clients, contractors and suppliers to ensure seamless project delivery
  • Process invoices, purchase orders and other financial documentation in accordance with company procedures
  • Assist with the preparation of project proposals, tenders and bid documentation
What we're looking for
  • A minimum of 2-3 years' experience in project administration, contracts administration or a similar administrative support role within a professional environment
  • Strong proficiency with Microsoft Office applications (Excel, Word, PowerPoint) and project management software or tools
  • Excellent organizational skills with the ability to manage multiple tasks, prioritize effectively and meet strict deadlines
  • Outstanding written and verbal communication skills, with the ability to communicate professionally with diverse stakeholders
  • Demonstrated experience in contracts administration, including document management, record keeping and compliance tracking
  • High level of accuracy and attention to detail, particularly when managing financial records and legal documentation
  • Proficiency in database management and data entry with a commitment to maintaining information accuracy and confidentiality
  • Ability to work both independently and as part of a collaborative team environment
  • Problem-solving mindset with the capacity to identify inefficiencies and implement practical solutions
  • Preferable experience in the engineering, construction or power sector would be advantageous
