About Your NewRole
A fantastic new opportunity is available for a highly organised individual to join our collaborative and supportive team in Auckland.This will be a rewarding role that will suit someone with strong communication skills and a high degree of initiative.
Key Responsibilities
- Deliver exceptional customer service and ensure a high level of client satisfaction through proactive problem-solving and support.
- Manage a high volume of inbound calls, emails, and customer enquiries in a professional and timely manner.
- Provide administrative support across operational, customer service, and finance functions.
- Coordinate meetings, appointments, and service bookings while maintaining accurate schedules and records.
- Maintain daily job schedules, trackers, timesheets, and workflow systems to support efficient service delivery.
- Prepare job packs and supporting documentation for operational teams.
- Respond accurately and efficiently to customer enquiries, requests, and concerns.
- Coordinate new and amended project bookings, ensuring resources and services are scheduled effectively.
- Monitor and maintain work order records, project documentation, and job completion requirements.
- Prepare, review, and submit claims and supporting documentation, ensuring accuracy and adherence to deadlines.
- Assist with project coordination activities, including permits, site documentation, traffic management requirements, and stakeholder communications.
- Maintain accurate records across business systems, including notes, photographs, claims, and project information.
- Support reporting requirements and contribute to continuous improvement of administrative processes.
About You
- Previous experience in an Administration, Customer Service, Scheduling, or Coordination role, ideally within a service-based, construction, utilities, or infrastructure environment.
- A strong customer-focused mindset with a commitment to delivering positive client outcomes.
- Excellent organisational skills with the ability to manage multiple priorities in a fast-paced environment.
- Strong verbal and written communication skills with the ability to build relationships at all levels.
- A proactive and solutions-focused approach to problem-solving.
- High attention to detail and the ability to maintain accurate records and documentation.
- Confidence working independently while also contributing positively within a team environment.
- Intermediate to advanced computer skills, including Microsoft Office Suite (Outlook, Excel, Word) and experience using databases, CRM, or scheduling systems.
- The ability to quickly learn new systems, processes, and technologies.
- A positive attitude, strong work ethic, and a willingness to take ownership of tasks and outcomes.
