Job summary

TDG Environmental, a leading provider of drainage solutions across Australia and New Zealand, invites applications for an organised Administrator to join our Auckland team. You will support customer service, scheduling, and coordination with a proactive mindset and strong initiative.

In this role you will manage inquiries, calendar planning, and documentation across operations, finance and service activities, contributing to efficient service delivery and client satisfaction.

Qualifications

  • Experience in administration, customer service or scheduling.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Strong written and verbal communication with attention to detail.

Responsibilities

  • Deliver exceptional customer service and support client satisfaction.
  • Handle high volume inbound calls and emails professionally.
  • Provide administrative support across operations, customer service and finance.
  • Coordinate meetings, appointments and service bookings.
  • Maintain schedules, trackers, timesheets and workflows.
  • Prepare job packs and documentation for operations.
  • Respond to inquiries and concerns promptly.
  • Coordinate project bookings and allocate resources.
  • Maintain project records and documentation.
  • Prepare and submit claims with deadlines.
  • Assist with permits, site documents, traffic management and stakeholder communications.
  • Maintain notes, photos, claims and project information.
  • Support reporting and process improvements.

About Your NewRole

A fantastic new opportunity is available for a highly organised individual to join our collaborative and supportive team in Auckland.This will be a rewarding role that will suit someone with strong communication skills and a high degree of initiative.

Key Responsibilities
  • Deliver exceptional customer service and ensure a high level of client satisfaction through proactive problem-solving and support.
  • Manage a high volume of inbound calls, emails, and customer enquiries in a professional and timely manner.
  • Provide administrative support across operational, customer service, and finance functions.
  • Coordinate meetings, appointments, and service bookings while maintaining accurate schedules and records.
  • Maintain daily job schedules, trackers, timesheets, and workflow systems to support efficient service delivery.
  • Prepare job packs and supporting documentation for operational teams.
  • Respond accurately and efficiently to customer enquiries, requests, and concerns.
  • Coordinate new and amended project bookings, ensuring resources and services are scheduled effectively.
  • Monitor and maintain work order records, project documentation, and job completion requirements.
  • Prepare, review, and submit claims and supporting documentation, ensuring accuracy and adherence to deadlines.
  • Assist with project coordination activities, including permits, site documentation, traffic management requirements, and stakeholder communications.
  • Maintain accurate records across business systems, including notes, photographs, claims, and project information.
  • Support reporting requirements and contribute to continuous improvement of administrative processes.
About You
  • Previous experience in an Administration, Customer Service, Scheduling, or Coordination role, ideally within a service-based, construction, utilities, or infrastructure environment.
  • A strong customer-focused mindset with a commitment to delivering positive client outcomes.
  • Excellent organisational skills with the ability to manage multiple priorities in a fast-paced environment.
  • Strong verbal and written communication skills with the ability to build relationships at all levels.
  • A proactive and solutions-focused approach to problem-solving.
  • High attention to detail and the ability to maintain accurate records and documentation.
  • Confidence working independently while also contributing positively within a team environment.
  • Intermediate to advanced computer skills, including Microsoft Office Suite (Outlook, Excel, Word) and experience using databases, CRM, or scheduling systems.
  • The ability to quickly learn new systems, processes, and technologies.
  • A positive attitude, strong work ethic, and a willingness to take ownership of tasks and outcomes.
