Job summary

TDG Environmental in Auckland is seeking a highly organised administrative professional to join our collaborative team. You will deliver outstanding customer service, manage inquiries, and support operations and finance functions.

This role involves coordinating meetings and service bookings, maintaining schedules and records, and preparing documentation for operations teams. You will work closely with colleagues to ensure smooth project delivery.

Responsibilities

  • Deliver exceptional customer service and ensure client satisfaction.
  • Manage a high volume of inbound calls, emails, and enquiries in a professional and timely manner.
  • Provide administrative support across operations, customer service, and finance functions.
  • Coordinate meetings, appointments, and service bookings while maintaining accurate schedules and records.
  • Maintain daily job schedules, trackers, timesheets, and workflow systems to support efficient service delivery.
  • Prepare job packs and supporting documentation for operational teams.
  • Respond accurately and efficiently to customer enquiries, requests, and concerns.
  • Coordinate new and amended project bookings, ensuring resources and services are scheduled effectively.
  • Monitor and maintain work order records, project documentation, and job completion requirements.
  • Prepare, review, and submit claims and supporting documentation, ensuring accuracy and adherence to deadlines.
  • Assist with project coordination activities, including permits, site documentation, traffic management requirements, and stakeholder communications.
  • Maintain accurate records across business systems, including notes, photographs, claims, and project information.
  • Support reporting requirements and contribute to continuous improvement of administrative processes.

About Your NewRole

Key Responsibilities

About You

To be successful in this role, you will bring:

Previous experience in an Administration, Customer Service, Scheduling, or Coordination role, ideally within a service-based, construction, utilities, or infrastructure environment.

A strong customer-focused mindset with a commitment to delivering positive client outcomes.

Excellent organisational skills with the ability to manage multiple priorities in a fast-paced environment.

Strong verbal and written communication skills with the ability to build relationships at all levels.

A proactive and solutions-focused approach to problem-solving.

High attention to detail and the ability to maintain accurate records and documentation.

Confidence working independently while also contributing positively within a team environment.

Intermediate to advanced computer skills, including Microsoft Office Suite (Outlook, Excel, Word) and experience using databases, CRM, or scheduling systems.

The ability to quickly learn new systems, processes, and technologies.

A positive attitude, strong work ethic, and a willingness to take ownership of tasks and outcomes.
