The Office Administrator role is an excellent opportunity to join the vibrant and collaborative team at Rangitāne o Wairau. You will play a crucial part in supporting the smooth and efficient running of the rūnanga office, providing high-quality administrative support across the organisation.

Qualifications

  • Experience in administration, reception or office coordination.
  • Basic cultural competency and understanding of kaupapa Māori, te reo me ōna tikanga.
  • Strong organisational and time management skills, with the ability to prioritise effectively, and simultaneously manage diverse tasks.
  • Excellent communication and interpersonal skills, with a friendly and professional manner, is calm under pressure.
  • Proficiency in using Microsoft Office applications, such as Word, Excel, and Outlook.
  • A keen eye for detail and the ability to work accurately and efficiently.
  • Proactive and self motivated, with the initiative to identify and respond to team needs, contribute to continuous improvement, and support colleagues to achieve shared outcomes.

Responsibilities

  • Administration and office support - managing correspondence and filing systems, maintaining office supplies, coordinating the vehicle fleet and troubleshooting minor IT issues
  • Kaimahi and meeting support - diary and travel coordination, meeting setup, minute taking, and coordinating mihi whakatau, blessings and haerenga
  • Member support - supporting membership applications, database updates, membership statistics and reports, and assisting with surveys and member engagement
  • Venue management - administering the hire of Ūkaipō and Tuamātene Marae in accordance with hire guidelines
  • Basic financial administration - managing petty cash
  • Communications and relationships - acting as a first point of contact and maintaining positive relationships with whānau, Trustees, iwi, vendors, contractors and stakeholders
  • General administration - maintaining the preferred suppliers list and compliance documentation, supporting organisational communications, brand standards, and proactively supporting organisational priorities
