Job summary

NZ Ministry of Justice in Napier seeks an experienced Judges Personal Assistant to provide professional secretarial and administrative support to the Judges of Napier District Court. You will manage diaries, arrange travel and accommodation for court proceedings, and prepare documentation including judgments, minutes, and reports.

The role requires a high degree of autonomy, strong organisation, and discreet communication with diverse people.

Qualifications

  • Experience providing executive/personal assistance to a diversified team in a busy environment.
  • Legal or court environment experience is an advantage.
  • Accurate audio-typing speed of at least 60 words per minute.
  • High standard of written English with excellent punctuation and grammar.
  • Effective written and spoken communication with individuals and groups.
  • Experience with computer-based secretarial and presentation tools.

Responsibilities

  • Provide professional secretarial and administrative support to Judges of Napier District Court.
  • Manage Judges' diaries and arrange travel and accommodation for court hearings and conferences.
  • Prepare judgments, court minutes, presentations, and reports; organise venue bookings and catering as required.
  • Assist visitors to Chambers and liaise with stakeholders in a discreet, professional manner.
  • Work autonomously and as part of a geographically spread team; maintain high accountability.

Judges Personal Assistant (Permanent Full time)
Te Haeata/The Opportunity

We are looking for someone to hit the ground running to provide professional secretarial and administrative support to the Judges of Napier District Court. You will support the judiciary on a one-to-one basis with a variety of tasks relating to the Judges' work schedules.

The Judges' PA is the main conduit for the judiciary for all communication coming into Chambers; managing Judges' diaries; arranging Judges' travel and accommodation for matters such as Court hearings, conferences and seminars; preparing documentation including judgments, Court minutes, presentations, minutes of meetings and reports; organising venue bookings and catering for conferences when required; and assisting visitors to the Chambers area.

The Judges PA role involves a high degree of self-direction with the ability to work autonomously as well as a in a geographically spread team. A high level of empowerment, responsibility and accountability is expected.

To be successful in the role you will have the following experience and technical skills:

  • Previous experience providing executive assistance, personal assistance or secretarial support to a diversified team of managers in a complex and busy environment
  • Previous experience in a legal or court environment is an advantage
  • An accurate audio-typing speed of at least 60 words per minute
  • A high standard of written English (comprehension, punctuation, spelling and grammar) and a high level of attention to detail
  • Experience in communicating effectively with individuals and groups (written and oral), including in situations which can be volatile or sensitive
  • Experience in working with a wide range of computer-based secretarial, administrative, and presentation applications
  • Ability to work at a high level of independence, professionalism and self-initiation
  • Demonstrates a strong level of organisation and problem solving, and the ability to prioritise work effectively and meet deadlines
  • Composure under pressure and being adaptable
  • Experience using liaison skills; especially with Maori, and networking ability
  • Experience in events management and/or organising and co-ordinating activities and individuals at a senior level.

Your goal will be to maximise the Judges' ability to carry out their judicial and extra judicial responsibilities effectively.

The remuneration band for this role is $60,729 to $80,794 – while the appointing salary will be based on skills and experience, we are willing to pay higher in the band to attract strong candidates into this role.
