Job summary

Hamilton City Council is seeking an experienced Programme Coordinator to join the Infrastructure and Assets Group within the Design & Deliver Unit. This 0.8FTE role supports the capital programme from planning through close-out, keeping projects aligned and moving forward.

You will deliver governance, coordination and reporting across multiple infrastructure projects, applying project management methodology and building capability.

Qualifications

  • Tertiary qualification in business or project management.
  • Minimum 8-10 years’ experience.
  • Prince2, PMP, NZ Certificate/Diploma in Project Management (Level 4-5) or similar qualifications.
  • Supporting project or programme governance, coordination, reporting, and documentation, ideally within a capital delivery or infrastructure environment.
  • Experience coordinating and supporting multiple projects or programmes concurrently within a structured delivery or portfolio environment.
  • Demonstrated experience with project financial administration, including budget tracking, forecasting, and expenditure monitoring.
  • Experience preparing, maintaining, and quality‑assuring programme and project documentation and reports for governance and delivery purposes.
  • Working knowledge of Health and Safety requirements as they apply to projects and capital works.
  • Proficiency in Psoda or similar project management systems, and the Microsoft Office Suite, particularly MS Teams, Project, Excel, and Outlook.
  • Proven ability to manage workload demands, prioritise effectively, and operate with a high degree of independence.
  • Highly developed interpersonal and communication skills with the ability to work effectively with a diverse range of stakeholders (internal and external)

Responsibilities

  • Coordinating programme meetings, documentation, minutes, and action tracking
  • Supporting delivery across the full programme lifecycle (planning through to close-out)
  • Preparing high-quality programme and project reporting, dashboards, and governance presentations
  • Ensure programme and project methodology is correctly applied and help build project management capability
  • Providing financial coordination support, including purchase orders, forecasting, and tracking expenditure
  • Maintaining programme schedules, milestones, and interdependencies
  • Supporting risk, issue, and change management processes
  • Working within council policies and systems (including procurement processes and tools such as Psoda)
  • Facilitating communication across project teams, the Portfolio Office, and wider council stakeholders
  • Contributing to continuous improvement, team culture, and health and safety practices
