Job summary

Te Omanga Hospice is seeking a motivated Fundraising & Database Coordinator to manage our fundraising database, support donor relationships, and assist with communications and events. You will ensure data accuracy, integrity, and reporting excellence to help sustain specialist palliative care for the Hutt Valley community.

Qualifications

  • Proven experience in database administration, data management, or fundraising administration.
  • Strong analytical skills with the ability to interpret data and produce meaningful reports.
  • Excellent organisation, time management, and prioritisation skills.
  • Strong attention to detail and commitment to accuracy.
  • Excellent written and verbal communication skills.
  • Confidence using Microsoft Office Suite and databases/CRM systems.
  • Ability to build positive relationships with donors, volunteers, and colleagues.
  • Proactive, flexible, and solutions-focused approach.
  • Current full New Zealand Driver Licence.

Responsibilities

  • Act as the primary administrator of the fundraising database
  • Maintain high standards of data integrity, accuracy, and privacy compliance
  • Produce reports and analyse fundraising data to identify trends and opportunities
  • Support donor acquisition, direct mail campaigns, events, and fundraising activities through effective data management
  • Process donations accurately and promptly, including online donations, direct mail income, event proceeds, gifts in kind, and memorial donations
  • Work collaboratively with Finance, Marketing, and wider Hospice teams to ensure accurate reporting and data management
  • Be a friendly and professional first point of contact for donor enquiries
  • Coordinate the administration of fundraising programmes
  • Prepare donor acknowledgements, and reports
  • Provide general administrative and event support across the Fundraising Team
  • Contribute to a collaborative, supportive team environment
  • Support Te Omanga Hospice's commitment to health, safety, and wellbeing
  • Help manage data and relationships to support community fundraising goals
  • Assist with communications and events to engage donors and volunteers

Te Omanga Hospice is looking for a motivated and detail-oriented Fundraising & Database Coordinator to join our dedicated Fundraising Team. This is a varied and rewarding role where you’ll be responsible for managing our fundraising database, supporting donor relationships, assisting with communications and events, and helping ensure we can continue providing specialist palliative care services to our Hutt Valley community.

About the Role

As our Fundraising & Database Coordinator, you will be the primary administrator of our fundraising database, ensuring data accuracy, integrity, and reporting excellence. You’ll play a key role in helping the team make informed fundraising decisions.

This role also supports donor care initiatives, regular giving programmes, fundraising events, bequests, and a range of fundraising activities across the organisation.

Key Responsibilities
  • Act as the primary administrator of the fundraising database
  • Maintain high standards of data integrity, accuracy, and privacy compliance
  • Produce reports and analyse fundraising data to identify trends and opportunities
  • Support donor acquisition, direct mail campaigns, events, and fundraising activities through effective data management
  • Process donations accurately and promptly, including online donations, direct mail income, event proceeds, gifts in kind, and memorial donations
  • Work collaboratively with Finance, Marketing, and wider Hospice teams to ensure accurate reporting and data management

About You

We’re looking for someone who combines strong administration and database skills with excellent relationship-building abilities and a genuine commitment to supporting the community.

You’ll bring:

  • Proven experience in database administration, data management, or fundraising administration
  • Strong analytical skills with the ability to interpret data and produce meaningful reports
  • Excellent organisation, time management, and prioritisation skills

Experience within the not-for-profit, fundraising, charity, or community sector would be advantageous but is not essential. Please note that occasional evening and weekend work may be required to support fundraising events and activities.
