Job summary

Canon Business Services ANZ is seeking a Facilities Coordinator on a 12-month fixed-term contract in Auckland's CBD. The role blends front-of-house hospitality, event coordination and facilities administration to ensure meetings, conferences and corporate functions run seamlessly.

You will work with a wide range of stakeholders to deliver a professional and welcoming environment. Key responsibilities include coordinating meetings, managing room bookings, catering, AV, signage, and venue

Qualifications

  • Experience in hospitality, corporate events, venue coordination or facilities support.
  • Strong customer service and professional, welcoming approach.
  • Experience coordinating meetings, events, conferences, or functions.
  • Excellent organisational skills and ability to manage competing priorities.
  • Confidence working with stakeholders, contractors, caterers and service providers.

Responsibilities

  • Coordinate meetings, conferences, corporate events, and executive functions.
  • Manage room bookings, event schedules and venue logistics.
  • Coordinate catering, audiovisual requirements, signage, and room setup.
  • Deliver a professional front-of-house experience for guests, clients, and employees.
  • Act as the key point of contact for event attendees and visitor enquiries.
  • Support VIP visits and executive meetings.
  • Monitor venue presentation and ensure spaces are event-ready.
  • Process invoices, purchase requests, and facilities administration tasks.
  • Coordinate contractors, service requests, and workplace maintenance activities.
  • Support Health & Safety and workplace compliance requirements.

We2re looking for a Facilities Coordinator to join our team on a 12-month fixed-term contract, supporting a leading corporate client in Auckland's CBD. This is a varied role where you2ll help create exceptional experiences for clients, guests, and employees. Combining front-of-house hospitality, event coordination, and facilities administration, you2ll play a key role in ensuring meetings, conferences, and corporate functions run seamlessly. Working alongside the facilities team and a wide range of stakeholders, you2ll organise events, support day-to-day administration and help ensure clients, guests, and employees enjoy a professional and welcoming environment.


Scope of the role includes:



  • Coordinate meetings, conferences, corporate events, and executive functions

  • Manage room bookings, event schedules and venue logistics

  • Coordinate catering, audiovisual requirements, signage, and room setup

  • Deliver a professional front-of-house experience for guests, clients, and employees

  • Act as the key point of contact for event attendees and visitor enquiries

You take pride in delivering a great experience, whether you\u2019re supporting a corporate event, assisting a visitor, or coordinating day-to-day workplace activities. You are comfortable managing multiple priorities, have a good eye for detail, and enjoy building positive relationships with a wide range of stakeholders. You\u2019ll bring a practical, can-do approach to your work, strong communication skills, and a willingness to pitch in wherever needed to support the team and workplace.


Key skills and experience include:



  • Experience in hospitality, corporate events, venue coordination or facilities support

  • Strong customer service skills with a professional and welcoming approach

  • Experience coordinating meetings, events, conferences, or functions

  • Excellent organisational skills and the ability to manage competing priorities

  • Confidence working with stakeholders, contractors, caterers, and service providers

  • Proficiency with Microsoft Office Suite and booking or event management systems

  • Ability to manage schedules, documentation, invoices, and operational records

  • Availability to support occasional early starts or later finishes to meet event and operational requirements
