Job summary

Pt Highlands is seeking an Executive Assistant to provide high-level support to our CEO across Highlands Motorsport Park, Hampton Downs, Taupo International Motorsport Park, Game Over Indoor Entertainment Centres, the Tony Quinn Foundation and the Repco NextGen NZ Championship. You'll manage contracts, calendars and confidential HR tasks, while keeping a fast-paced, high-energy group running smoothly.

Two pathways apply: a recent law graduate gaining commercial experience or an experienced EA

Qualifications

  • Law graduate exposure to contracts, consents, property and governance work.
  • Executive assistant skills for supporting a senior leader.
  • Analytical, detail-oriented with strong written and verbal communication.

Responsibilities

  • Prepare and review contracts, agreements, licences and proposals.
  • Manage renewal of consents, licences and permits.
  • Assist with property sales, transfer approvals and body corporate matters.
  • Coordinate property matters for Highlands Innovation and Technology Park and Hampton Downs.
  • Organise Highlands Design Review Board meetings and approvals for builds/subdivisions.
  • Provide high-level administrative support to the CEO and manage inbox/calendar.
  • Attend meetings, prepare agendas, and distribute minutes and follow-ups.
  • Organise travel arrangements and logistics for the company.
  • Support Senior Management Team with agility and discretion.
  • Provide HR support, onboarding and EAP services contract management.
  • Respond to urgent business requests and act as central contact point.

Law Graduate pathway to in-house counsel, or Experienced EA – Cromwell, Central Otago

This is a rare opportunity for a sharp, detail-oriented person to work directly alongside our CEO and support a group of internationally recognised businesses. You'll be organised, quick on your feet, and comfortable switching between contracts, calendars and everything in between.

We're seeking an Executive Assistant to provide high-level support to our CEO across Highlands Motorsport Park, Hampton Downs, Taupo International Motorsport Park, Game Over Indoor Entertainment Centres, the Tony Quinn Foundation and the Repco NextGen NZ Championship. You'll be central to keeping this fast-moving, high-energy group running smoothly.

Two Ways In

We're open to two very different backgrounds for this role, so apply whichever path fits you:

Law Graduate

You've recently finished your law degree and want real commercial experience from day one. You'll get hands-on exposure to contracts, consents, property and governance work, with a genuine pathway to grow into an in-house legal counsel role for the Group as your experience builds.

Experienced Executive Assistant

You've supported a senior leader before and can hit the ground running. You bring sharp organisational instincts, sound judgement and the confidence to manage a demanding portfolio from week one.

Key Responsibilities
  • Prepare and review contracts, agreements, licences and proposals.
  • Manage the renewal of consents, licences and permits.
  • Assist with property sales, transfer approvals and body corporate matters.
  • Manage property matters for the Highlands Innovation and Technology Park and the Hampton Downs Industrial Precinct, liaising with residents and property owners.
  • Coordinate Highlands Design Review Board meetings and applications for build and subdivision approval.
  • Provide high-level administrative support to the CEO, efficiently managing her inbox and calendar.
  • Attend meetings, prepare agendas, and distribute minutes, actions and follow-ups.
  • Organise travel arrangements and logistics for the company.
  • Support the Senior Management Team with agility and discretion.
  • Provide administrative support for HR matters, including onboarding new staff and managing our EAP services contract.
  • Respond to urgent business requests as they arise.
  • Act as a central point of contact for internal and external stakeholders.
What We're Looking For

You're analytical, detail-focused, and comfortable working independently with minimal direction. Familiarity with property management, land ownership and development, contract management, or planning and consenting practices is a strong advantage, though not essential for the right law graduate.

  • Sound working knowledge of, or strong interest in, contract law.
  • Confident using Microsoft Office and comfortable adopting new tools, including AI, to work efficiently.
  • Practical, common-sense thinker who can navigate complex situations.
  • Commercially minded, with an understanding of how the wider business fits together.
  • Strong written and verbal communicator.
  • Highly organised, with the ability to manage competing priorities and adapt quickly as demands change.
  • Resilient, hard-working, and genuinely enjoys a fast-paced environment.
  • A positive, can-do attitude and a good sense of humour.
