Job description

About The Opportunity

Our client is the home of thoroughbred racing in New Zealand, and they're looking for an Executive Assistant to join their Ellerslie-based team. This is a trusted, hands-on role supporting the CEO, working closely with the Board and Executive team, and playing an important part in keeping the wider office running smoothly.

What you'll be doing

  • Managing the CEO's diary, communications and correspondence
  • Preparing documents, presentations and information as required
  • Supporting communication across the wider team
  • Preparing, collating and distributing Board papers and taking meeting minutes using Diligent platform
  • Chipping in around other areas of the office, as required
What You'll Bring

You might already be an Executive Assistant or an experienced Personal Assistant looking to step into a role with greater exposure to senior leadership and the Board.

We're open to seeing candidates at different levels - what matters most is that you're organised, switched-on, and capable of taking ownership of your work.

You’ll Ideally Bring
  • Previous experience supporting a senior leader, executive team or Board
  • Excellent organisation and attention to detail
  • Confidence preparing documents, presentations and meeting papers
  • Experience taking minutes, or the ability to pick this up quickly
  • A calm, composed approach when things get busy
  • Good technology skills and an openness to using new tools, including AI
  • A genuine willingness to pitch in and help wherever needed
What’s On Offer

This is a role for someone who likes people, variety and autonomy.

We're looking for someone who can manage their own time, get on with the job and bring positive energy to the office. You won't be walking into a stuffy corporate environment or a role where every minute of your day is dictated to you.

There's also flexibility around working hours, including the possibility of 9am-3pm for the right person, making this a great opportunity for someone looking for more flexibility around their family commitments.

  • Flexible salary, depending on experience
  • Ellerslie-based office with parking provided
  • Monday to Friday, flexible start and finish times
  • A friendly, down-to-earth and people-focused environment
  • Lots of opportunities to connect socially with the team - darts, ping pong, and Friday drinks are all on regular rotation.

To apply for this vacancy, you MUST be a New Zealand citizen, resident, or have already secured the right to work in New Zealand and therefore hold a valid visa.
