Are you an experienced events professional who loves working with clients, bringing ideas to life and making sure every detail is taken care of?
We’re looking for an organised, commercially minded Events Coordinator to join our team on a six-month maternity cover contract. This is a key role within our events team, with a strong focus on event sales and client management — from the initial enquiry through to handover to the delivery team. You’ll be joining an established events team with the support of experienced event sales and operational colleagues.

We’re the team behind Akarana — a community hub right on the waterfront in Okahu Bay. Operated by the Akarana Marine Sports Charitable Trust, we’ve created a world-class, multi-sport marine facility that brings people together on and off the water.
Our centre is home to the Royal Akarana Yacht Club, Akarana Eatery and a light-filled Events Centre with sweeping ocean views. Whether it’s an elegant wedding, a black-tie dinner, a corporate conference or a heartfelt memorial we offer beautiful, flexible spaces that can host everything from intimate gatherings to 500+ guest functions.

What you’ll do:
Manage event enquiries from initial contact through to confirmed booking and handover to the delivery team.
Act as the key point of contact for clients throughout the event planning lifecycle
Prepare professional event proposals, quotations, contracts and detailed event documentation, including event orders, run sheets and operational production schedules.
Co‑ordinate with internal teams to ensure a seamless transition from planning through to event delivery, ensuring all event information is accurate and communicated clearly to the relevant teams
Support invoicing, pre‑payment, reconciliation and post‑event follow up
Assist with the control and allocation of rooms across our multi‑room venue.
Identify opportunities to enhance the client experience and maximise event revenue.
What you’ll bring
We’re looking for someone who is confident dealing with clients, commercially minded and genuinely enjoys making events happen.
You’ll ideally have:
Previous experience in event coordination, event sales, venue sales, conference or similar role
Experience preparing proposals, quotations, pricing and detailed event documentation
Strong client relationship and customer service skills, with excellent written and verbal communication skills
Calm under pressure, with a solutions‑focused mindset
Strong organisational skills, exceptional attention to detail.
Strong commercial awareness and an understanding of the event sales process.
Excellent time management and the ability to manage competing deadlines.
A collaborative approach and the ability to work effectively as part of a wider team.
Experience with HubSpot and Ivvy would be an advantage, as would experience working within a multi‑room venue or conference and events environment.
