Established in 1991, Conferences & Events Ltd has built a national reputation over three decades as one of New Zealand's most highly regarded Professional Conference Organisers. We work across the academic, association, and corporate sectors on national and international events held throughout Aotearoa New Zealand.
The Role
We're looking for an experienced Conference Organiser to play a key role in the delivery of our conferences, working closely with Conference Managers and the wider team. You'll take ownership of the systems and processes that keep conferences running smoothly, from registration and abstract management through to onsite delivery, with a good degree of autonomy. This role is a genuine pathway to Senior Conference Organiser. This role would suit someone who is technically confident, enjoys problem-solving, and is comfortable learning and working across different software systems.
Tasks & Responsibilities
- Managing attendee registrations by building online forms in EventsAir, preparing event communications, and responding promptly to delegate queries
- Managing the call for abstracts and review process, including submission and review portals and speaker communications
- Managing website build and content management for individual conference websites
- Managing exhibition and sponsorship sales online, and acting as the key point of contact for exhibitors and sponsors
- Assisting with social media and email newsletter campaigns to support conferences and the Company profile
- Working with hotels to secure room blocks and managing release dates and booking lists
- Collating and exporting data and reports for clients, Conference Managers, and the Head of Events
- Contributing to conference timelines and checking in with Conference Managers to ensure tasks are progressing as planned
- Supporting the Conference Manager by attending client meetings and minuting meetings as required
- Supporting conference programme development, including liaison with LOC programme committees
- Managing invited speakers once invitations are made, including travel and accommodation
- Onsite management of the registration desk and trade exhibition – flexible working hours and travel required, may include evenings and weekends
Qualifications & Experience
- Proven ability to think proactively and go the extra mile for the team and client projects
- Confidence making website builds and updates for individual conference sites (full coding skills not required, but solid working ability with web-based systems)
- Confidence using, or a strong aptitude to quickly master, conference database and registration software across registration, abstracts, and exhibition sales — experience with EventsAir specifically is a bonus, though not essential
- Comfort using email marketing tools such as Mailchimp to build and send newsletters
- Image editing skills for use on websites and in newsletters
- Experience using tools such as Copilot, Canva, SurveyMonkey (or similar), and task management software is desirable
- Strong problem-solving skills and a genuine desire to keep learning
- Strong customer service focus, with the ability to communicate confidently and professionally with delegates, clients, exhibitors, and sponsors
- Experience taking accurate minutes of committee meetings
- Experience managing trade exhibition and sponsorship sales, including relationship management
- Experience with accommodation management for large groups across multiple hotels
- Understanding of the abstract submission and review process for scientific/academic conferences
- Competence using Microsoft 365, especially Excel, Word, and Outlook
- Excellent written and spoken communication skills
- Typically, a minimum of two years' experience as a Conference Coordinator, or equivalent experience in a similar events/PCO role
