Job summary

Rydges Formosa Golf Resort, part of EVT, is seeking a Conference & Events Coordinator for a 6-month fixed term to deliver professional guest and client service while driving event yield. Based on the Pohutukawa Coast near Auckland, the resort features six flexible spaces, a championship golf course and weddings; you will manage bookings, liaise with back-of-house teams and maintain iVvy.

Qualifications

• Experience in conference, events or hotel sales coordination.
• Attention to detail with ability to manage multiple bookings and deadlines.
• Client-focused, friendly and professional service at all times.
• Experience using event management systems, especially iVvy.
• Strong written and verbal communication across diverse groups.

Responsibilities

• Undertake daily administration and reactive sales activities, including correspondence, quotes, telephone enquiries and post-event follow up.
• Assist in the co-ordination of conferences, dinners, weddings, accommodation and private dining bookings, updating and cancelling bookings accurately per SOPs.
• Handle calls, book appointments and assist with lead generation and enquiry follow up.
• Work closely with back of house teams to ensure events are coordinated appropriately and meet or exceed client expectations.
• Be present on site for special events as event coordinator, or as directed by the Director of Sales or General Manager.
• Conduct site inspections for clients and third-party suppliers as required.
• Maintain the iVvy event management system, including sales activity, client information and booking details.
• Prepare regular and ad hoc reports as directed by the Conference Sales Manager or General Manager.
• Conduct post-event follow up, working closely with clients to secure future business for the resort and EVT group.

About the Role

Set against the Pohutukawa Coast just 40 minutes southeast of Auckland, Rydges Formosa Golf Resort spans 170 sprawling hectares with sweeping clifftop views over the Hauraki Gulf, Waiheke Island, Rangitoto Island and the Coromandel Peninsula. The resort is home to six flexible conference and event spaces, an 18-hole championship golf course, and a popular destination for weddings, functions and corporate events. We're looking for a Conference & Events Coordinator to join the team on a 6 month fixed term basis, providing professional, courteous and helpful service to guests and clients with a primary focus on driving yield.

Key Responsibilities

• Undertake daily administration and reactive sales activities, including correspondence, quotes, telephone enquiries and post-event follow up.

What You'll Bring

• Previous experience in conference, events or hotel sales coordination, ideally within a hospitality or resort setting.
• Strong attention to detail, with the ability to manage multiple bookings and deadlines accurately.
• A client-focused approach, providing efficient, friendly and professional service at all times.
• Confidence using event management systems (experience with iVvy is an advantage).
• Strong written and verbal communication skills, with a collaborative, respectful approach to working with guests and colleagues from all cultural groups.
