The Admin | Tangata Ora & Whānau Ora provides day-to-day administrative support across both the Tangata Ora and Whānau Ora services. This role assists the Tangata Ora Kaiwhakahaere and Whānau Ora Kaiwhakahaere, and their wider teams, with document preparation, filing, data management, scheduling, and correspondence, helping to ensure both services run smoothly and that kaimahi are well supported to focus on the whānau and tangata in their care.
Key responsibilities
Provide day-to-day administrative support to the Tangata Ora Kaiwhakahaere and Whānau Ora Kaiwhakahaere and their teams, including document preparation, filing, and data management.
Manage scheduling, correspondence, and meeting coordination across both services, ensuring communications are timely and professional.
Maintain controlled documents, filing systems, and confidential records for Tangata Ora and Whānau Ora, ensuring version control and compliance with organisational document standards.
Use organisational systems including Exess, Monday.com, SharePoint, and Microsoft 365 to manage records, coordinate schedules, and support accurate reporting and data management across both services.
Assist with the preparation and collation of reporting relating to Tangata Ora and Whānau Ora, ensuring accurate and timely information is provided to the Kaiwhakahaere.
Ensure relevant administrative procedures and policies are adhered to, and provide suggestions on how these can be improved to support better service delivery.
Undertake any other tasks and duties reasonably required by the Executive team from time to time, in support of effective service delivery and the wellbeing of Te Iwi o Ngāti Kahu.
About you
Relevant qualification in business administration or a related field, or significant equivalent experience.
Good working knowledge of Microsoft 365 and other office and organisational systems.
Good written and verbal communication skills.
Minimum 1–2 years' experience in an administration or office support role, ideally within health, disability, or social services.
Experience managing schedules, correspondence, and confidential or sensitive information.
Experience supporting more than one team or manager at a time.
Maintains strict confidentiality when handling sensitive information relating to whānau, tangata, and kaimahi.
Manages competing priorities, deadlines, and schedules effectively across two services.
Confidently uses Exess, Monday.com, SharePoint, and Microsoft 365 to manage records, schedules, and reporting.
Applies Ngāti Kahu values in daily work and understands and upholds the principles of He Whakaputanga and Te Tiriti o Waitangi in practice.
