Document Controller – Data Centre Project, Glomfjord, Norway
Job Description
We are seeking an experienced Document Controller to support the delivery of a major data centre project in Glomfjord, Norway. The successful candidate will be responsible for managing the flow, control, tracking and distribution of project documentation across the client, main contractor, subcontractors, consultants and suppliers.
Key Responsibilities
- Manage the project document control system, ensuring all drawings, specifications, RFIs, submittals, technical documentation and correspondence are correctly registered, controlled and distributed.
- Maintain accurate document registers and trackers, monitoring revisions, approvals, outstanding actions and document status throughout the project lifecycle.
- Coordinate technical submissions, material approval requests, method statements, inspection and test plans, commissioning documentation and other project deliverables.
- Manage the uploading, reviewing, routing and approval of documentation through platforms such as Aconex, Procore, Viewpoint, Autodesk Construction Cloud or similar systems.
- Coordinate document submissions between engineering, construction, QA/QC, commissioning, HSE and project management teams.
- Track RFIs, technical queries, transmittals, submittals, NCRs, inspections and other project records, ensuring actions and responses are followed through to closure.
- Maintain comprehensive handover and close-out documentation, including O&M manuals, test certificates, commissioning records, warranties, as-built drawings and final project dossiers.
- Ensure document naming conventions, numbering systems, metadata and revision controls are consistently applied across all project documentation.
- Support project meetings by preparing document status reports, outstanding deliverables lists and document control dashboards.
- Liaise with subcontractors, consultants, suppliers and client representatives to ensure documentation is submitted accurately and within agreed deadlines.
- Identify missing, incomplete or incorrectly issued documentation and work with relevant teams to resolve issues promptly.
- Maintain a structured and auditable project document archive throughout construction, commissioning and handover.
- Ensure document control processes comply with client requirements, project procedures and Norwegian project standards.
Candidate Requirements
- Previous experience as a Document Controller on large-scale construction, infrastructure, industrial, pharmaceutical or data centre projects.
- Experience working within a complex multi-contractor environment.
- Strong understanding of drawing, revision and document management processes.
- Experience with Aconex, Procore, ACC/BIM 360, SharePoint or similar EDMS platforms.
- Strong organisational and communication skills with excellent attention to detail.
- Ability to manage large volumes of documentation and multiple priorities in a fast-paced construction environment.
- Previous experience with MEP, electrical, mechanical, QA/QC and commissioning documentation would be highly beneficial.
- Experience working on hyperscale or critical infrastructure projects is advantageous.
- English language proficiency required; Norwegian language skills would be advantageous.
Role Focus
The role will be particularly focused on maintaining document control from construction through commissioning and final handover, ensuring that the project team has accurate, current and fully traceable documentation at every stage of delivery.
