Job summary

Arvato in the Netherlands is seeking a Transport Billing Administrator to ensure transport invoices and related records are accurate, complete and properly followed up.

You’ll verify transport invoices against agreements, maintain Excel control files, track discrepancies with carriers and internal stakeholders, and support timely follow-up of issues. This role emphasizes precision, ownership of routine tasks and improving information management.

Qualifications

• Experience in administration, logistics, transport, invoice processing or a similar role.
• Good working knowledge of Excel, including formulas, filters and data handling.
• Confidence working with large volumes of information and maintaining accurate records.
• Exceptional attention to detail and the ability to identify inconsistencies.
• Strong organizational skills, with the ability to prioritize and follow up on multiple tasks.
• Clear communication skills and the ability to coordinate with internal and external stakeholders.
• Reliable, proactive and able to work independently on routine tasks.
• Good command of English, both written and spoken; Dutch is an advantage.
• A willingness to learn and improve administrative processes.
• A practical and analytical approach to solving routine issues.

Responsibilities

• As a Transport Billing Administrator, you support transport business control by checking invoices, managing data and ensuring discrepancies are documented and resolved or escalated in a timely manner.
• You’ll work closely with colleagues and external transport partners to keep administrative processes running smoothly.
• A key part of your role is comparing invoices, rates and surcharges with the relevant agreements and rate cards.
• You’ll use Excel to organize information, monitor outstanding items and maintain accurate, up-to-date records.
• Your responsibilities will also include: Checking transport invoices, rates and surcharges against agreements and rate cards, and identifying errors or inconsistencies; Maintaining Excel control files, organizing large volumes of data and ensuring records remain accurate and up to date; Tracking corrections, outstanding issues and credit notes, and following up until items are closed; Documenting discrepancies, gathering supporting information and coordinating routine queries with carriers and internal stakeholders; Following established procedures and identifying opportunities to improve administrative workflows and communication.
