Job summary

Private Company in Rotterdam, Netherlands, is seeking a logistics coordinator responsible for coordinating transport planning, customs administration, and overall logistics operations to ensure efficient movement, storage, and customs clearance of goods.

You will support daily operations, maintain accurate documentation, and serve as the primary contact for transport providers, customers, customs authorities, and internal stakeholders.

Qualifications

  • MBO+/HBO level of study in Transport and Logistics is preferred.
  • Familiarity with Microsoft Office and Transport Management Systems (TMS).
  • Qualified Customs Declarant (EVO) or equivalent is a plus.
  • Proficiency in English is required.
  • Experience with computerized systems and databases.

Responsibilities

  • Coordinate unloading and loading of goods and prepare transport documents and certificates.
  • Handle documentation with transport providers and archive records under supervision.
  • Prepare and submit daily reports to Customs.
  • Perform reception duties and handle calls, visitors, and scheduling.
  • Record ingredients, inventory deductions, and storage locations in the system.
  • Classify products (T1 bonded vs free circulation) and assign batch numbers; prepare lab copies.
  • Maintain production files and ensure required forms are available.
  • Promote safe, efficient, and cost-conscious work practices while following quality standards.
  • Ensure compliance with ISO, HACCP, safety, quality, and environmental regulations.
  • Prepare customs declarations for imports, bonded warehousing, exports, and storage.
  • Maintain bonded warehouse administration and perform month-end reconciliations.
  • Foster good relations with Customs, industry bodies and clients.
  • Coordinate customs sampling inspections with Operations Manager.
  • Advise customers on customs legislation and enforce regulations.
  • Coordinate with other departments for major goods movements (unloading/loading).
  • Record financial data for imports, invoicing, and monitor activities in the department.
  • Oversee customs-related transshipments by third parties.
  • Authorized to sign customs declarations and to suspend shipments if needed.
  • Ensure compliance with all applicable safety, quality and environmental procedures.

Job description

This role requires coordinating transport planning, customs administration, and logistics operations to ensure the efficient movement, storage, and customs clearance of goods. The position supports daily operational activities, maintains accurate documentation and regulatory compliance, and serves as a key point of contact for transport providers, customers, customs authorities, and internal stakeholders.

Responsibilities
  • Coordinate the unloading and loading of incoming and outgoing goods, including the associated documentation such as transport documents and required certificates
  • Under the supervision of the Managing Director, handle the required documentation and formalities with transport providers, and process and archive relevant records
  • Prepare and submit daily reports to Customs
  • Perform reception duties, including answering telephone calls, welcoming visitors and sales representatives, carrying out general reception-related administrative tasks, and scheduling appointments with clients
  • Receive production recipes/orders, identify the required ingredients in the system, process any inventory deductions, and record the storage locations (cell numbers) on the recipe
  • Review recipes to determine whether products are classified as T1 (bonded) goods or free circulation goods, assign blend/lot numbers to batches, record this information in the system, and prepare copies of recipes for the laboratory
  • Update and maintain the production file containing all required forms and documentation
  • .Encourage employees to work safely, efficiently, cost-consciously, and in accordance with quality standards
  • Comply with all applicable procedures and instructions relating to ISO, HACCP or comparable food safety standards, occupational health and safety, quality, and environmental regulations
  • Prepare customs declarations for imports, bonded warehousing, exports, and storage of goods
  • Maintain customs bonded warehouse administration and perform month-end customs reconciliations
  • Foster and maintain good working relationships between the company and Customs authorities, industry organizations, other regulatory bodies, and clients
  • Plan, assist with, and coordinate Customs sampling inspections in consultation with the Operations Manager
  • Advise customers and colleagues on customs legislation and take corrective action where regulations are, or may be, violated
  • Coordinate with other departments to plan expected or scheduled activities involving significant goods movements, such as vessel unloading, or the loading of large quantities of containers, ships, or trucks
  • Record financial data relating to imports, invoicing, and monitor all activities performed within the department
  • Coordinate and supervise customs-related transshipment activities carried out by third parties
  • Authorized to sign customs declarations
  • Authorized to suspend shipments if statutory or regulatory requirements are not met
  • Ensure compliance with all applicable HACCP (or equivalent food safety), occupational health and safety, quality, and environmental procedures during all activities
Job Requirements
  • MBO+/HBO (vocational college/university of applied sciences) working and thinking level, preferably in Transport and Logistics
  • Familiarity with Microsoft Office applications and Transport Management Systems (TMS
  • Qualified Customs Declarant (EVO) or equivalent level of expertise is a big plus
  • Proficiency in English
