Job description

DRI Rubber is an international company focused on sustainable rubber solutions and circular supply chains. We work with major global tyre manufacturers and partners throughout Europe and beyond, creating innovative and sustainable solutions within the rubber industry.

At DRI Rubber, we are looking for a highly organized and detail-oriented Customer Order & Export Coordinator. In this pivotal role, you ensure that customer orders are correctly reviewed, validated, processed, and released into our operational processes. You are the critical link between Sales, Customer Service, Supply Chain, Logistics, Finance and our customers worldwide. You do not simply enter orders. You challenge them, validate them, safeguard compliance, and ensure that only complete and accurate orders reach Supply Chain for planning. At the same time, you take ownership of export documentation and support the Team Lead Service Center as deputy during absence.

Your challenge:
Order Management & Validation
  • Review and validate incoming customer sales orders.
  • Verify prices, quantities, Incoterms, payment terms, customer-specific requirements and delivery conditions.
  • Ensure orders comply with internal procedures, contractual agreements and compliance requirements.
  • Block orders when information is incomplete, incorrect or inconsistent.
  • Coordinate corrective actions with Sales, Finance, Quality, Logistics and other stakeholders.
  • Release validated orders to Supply Chain for planning and execution.
Order Follow-Up & Stakeholder Management
  • Monitor orders from receipt through delivery.
  • Proactively communicate with customers and internal stakeholders regarding order status and potential risks.
  • Identify delays, deviations and bottlenecks and coordinate appropriate actions.
  • Maintain complete and accurate order records.
  • Ensure a professional and customer-focused service experience.
Export & Shipping Documentation
  • Prepare and validate export and shipping documentation.
  • Manage commercial invoices, packing lists, certificates of origin, CMRs and Bills of Lading.
  • Ensure all documents are accurate, compliant and delivered on time.
  • Coordinate with freight forwarders, shipping lines, customers and customs-related parties.
  • Support audits, claims and documentation inquiries.
Operational Excellence
  • Identify opportunities to improve order-to-delivery processes.
  • Improve data quality, process efficiency, and customer service performance.
  • Contribute to KPI achievement and continuous improvement initiatives.
Deputy Team Lead Service Center
  • Act as a backup for the Team Lead Service Center.
  • Support workload allocation and operational coordination.
  • Assist colleagues with escalations and complex customer orders.
  • Maintain operational continuity during periods of absence.
What do you bring?
Education & Experience
  • MBO+ / HBO working and thinking level, or equivalent.
  • Background in Supply Chain, Logistics, International Trade, Business Administration or a similar field.
  • At least two years of relevant experience in order management, customer service, export administration or supply chain operations.
  • Experience with ERP systems such as Exact Globe+, SAP, Microsoft Dynamics or a comparable system.
Knowledge & Skills
  • Strong understanding of international logistics and export documentation.
  • Knowledge of Incoterms and international trade processes.
  • Excellent English communication skills.
  • Dutch is preferred; German is an advantage.
Personal Competencies
  • Accurate and detail-oriented.
  • Proactive and solution-driven.
  • Assertive enough to challenge incorrect or incomplete orders.
  • Customer-focused while maintaining process discipline.
  • Able to prioritise in a fast-paced international environment.
  • Strong in communication and stakeholder management.
What do we offer?
  • A key role within a growing international organisation.
  • High visibility across Sales, Supply Chain and Operations.
  • The opportunity to make a direct impact on customer satisfaction and operational performance.
  • A dynamic environment where initiative, ownership and continuous improvement are valued.
  • International exposure through customers and partners across Europe and beyond.
