Job summary

Medtronic zoekt een Associate Intercompany Export Specialist voor de Export, Intercompany & Specialized Services afdeling. U werkt nauw samen met Distribution Centers wereldwijd en regelt stock transfer orders zodat leveringen tijdig en compliant verlopen, met aandacht voor kwaliteit en patiëntveiligheid.

U bewaakt orderstatussen, onderhoudt communicatie met interne afdelingen en stakeholders, en voert continue verbeteringen door in processen en data-analyse om efficiency te verhogen.

Qualifications

• 2+ jaar ervaring in export-gerelateerde klantenservice/orderbeheer/logistiek.
• Vloeiende Engelse taal in woord en geschrift.
• Klantgericht en proactieve houding.
• Goede communicatieve vaardigheden (mondeling en schriftelijk).
• Computergeletterdheid (MS Office en ERP-systemen).
• Sterk verantwoordelijkheidsgevoel en flexibiliteit.
• In staat prioriteiten te stellen in een veranderende omgeving en met stress om te gaan.
• Proactieve rol in communicatie met regionale stakeholders en probleemanalyse.
• Analytische, probleemoplossende en besluitvormende skills.
• Resultaatgerichtheid met gebruik van data, KPI’s en tools zoals MOS, CAP en Lean Sigma.

Responsibilities

• Eerste aanspreekpunt voor vragen van Distribution Centers wereldwijd betreffende stock transfers.
• Regelen van vlotte bestel- en verzendprocessen en e-mailcommunicatie beheren.
• Aanmaken en monitoren van stock transfer orders en leveringen in ERP-systemen (bv. SAP).
• Verantwoordelijk voor aging orders en dagelijkse/wekelijkse statusupdates.
• Opvolging van serviceklachten met root-cause analyse en tijdige afhandeling.
• Uitvoeren van root-cause analyses en afstemming met andere teams.
• Regelmatige conference calls met stakeholders om processen te verbeteren.
• Toepassen van continue-verbetering en procesverbeteringen.
• Anayseren van data en afwijkingen ter optimalisatie van flows.

We are currently looking for a full-time customer-focused, proactive and accurate Associate Intercompany Export Specialist, ensuring excellent quality, swift delivery and ultimately our patients' safety and health.

Een dag uit het leven

The job entails close working relationships with local downstream Distribution Centers, regulatory, logistics operations, transport teams, trade compliance and our supply chain planning department.

• You are the first point of contact for inquiries from Distribution Centers in Middle East, Africa, Central Asia, Russia, Eastern Europe, India, APAC, China and Latin America related to their stock transfer orders from our Distribution Centers in Heerlen, Netherlands or Rolo, Italy.
• You enable smooth order and shipment processes and communications for these stock transfer orders and handle all incoming e-mails to shared mailboxes in an efficient, compliant and effective way.
• You create and monitor stock transfer orders, deliveries, shipments at different stages in the process and monitor our lead-times in ERP (i.e. SAP) systems.
• You are responsible for aging orders and providing daily/weekly information about the open orders, deliveries and shipments to the distribution centers.
• You are responsible for service complaint follow up with detailed root cause investigation and timely resolving the complaint.
• You are responsible for performing root cause investigation for various issues, coordinate issues with other teams, and have attention to detail in order to resolve issues.
• You have recurrent conference calls with your stakeholders to discuss processes, overcome obstacles and make agreements.
• You apply continuous improvement method/thinking while working on process improvements.
• You analyze and assess data and deviations to enable smooth process flows.

Required knowledge and experience

• HBO work & thinking level
• 2+ years’ experience in export-related customer care/service, order management or logistics
• Fluent in English language in word and writing
• Customer focus and can-do mindset
• Excellent communication skills (verbal and written)
• Computer literacy (MS-Office and ERP systems)
• Strong sense of responsibility and high flexibility
• Able to prioritize in a constantly changing environment and to deal with stress
• Pro‑active role in communicating with all parties involved in regional processes, and identify needs
• Analytical, problem solving and decision‑making skills
• Result orientation by using data, KPI’s/Metrics and making active use of tools and systems like MOS, CAP and Lean Sigma

We would prefer if you had experience with Emerging Markets and/or Intercompany and were proficient in using Excel and PowerPoint.
