Job summary

Volvo Trucks in Ipoh, Malaysia seeks an experienced Workshop Services Manager to lead the workshop and apprentice teams in the WTA department. You will plan workloads, allocate repair orders, and guide technicians to meet quality and efficiency targets.

You will coordinate with Parts, drive continuous improvements, and uphold health, safety, and ISO standards while mentoring staff and ensuring production quality across all campaigns.

Qualifications

  • Malaysian Skills Certificate or Diploma in Automotive Engineering or related field.
  • Formal training in leadership, communication and people skills
  • Competencies required, taken from the Volvo Leadership competencies

Responsibilities

  • Manage Workshop workload planning by using workshop planner software available.
  • Monitor and manage respective campaigns, ensuring all campaigns are completed on schedule.
  • Selection of & allocation of work/repair orders to Technician staff, including logging time on/off job on line.
  • Assisting and guiding production staff either physically or technically where necessary or appropriate.
  • Assisting and advising Technicians on trouble shooting & repair estimation.
  • Ensuring Technician staff know what work they are to carry out, the scope of each job & the target time for the job.
  • Developing, and re-appraisal of live repair orders, allocating Volvo Standard Time & Straight Time as each job progresses.
  • Liaisons with Parts Department to ensure sufficient stocks of the correct parts are available.
  • Test driving and assessment & reporting on finish production quality and completion of relevant Quality check document.
  • Ensuring that all relevant Warranty Claim or Contract Claim displaced is correctly labelled and placed within the Warranty Material holding area.
  • Workshop Productive Efficiency KPI.
  • Actively developing team play between Technicians, Foreman & Service Advisors.
  • Establishing & continuously reviewing productive staff’s knowledge skill attitudes and training needs.
  • Keeping Workshop Facilities clean, tidy and in good condition reflecting Volvo Dealer Standards.

Scope

  • Carries out supervisory responsibilities in accordance with the organization's policies and applicable laws.

Influence

  • Responsibilities include planning, assigning, and directing work; addressing complaints and resolving problems.

Key Responsibilities/Accountabilities

  • Manage Workshop workload planning by using workshop planner software available
  • Monitor and manage respective campaigns, ensuring all campaigns are completed on schedule
  • Selection of & allocation of work/repair orders to Technician staff, including logging time on/off job on line. This is to ensure technicians with appropriate skills are allocated to jobs so minimizing the risk of compromising productive Efficiency & job finish quality.
  • Assisting and guiding production staff either physically or technically where necessary or appropriate
  • Assisting and advising Technicians on trouble shooting & repair estimation
  • Ensuring Technician staff know what work they are to carry out, the scope of each job & the target time for the job
  • Developing, and re-appraisal of live repair orders, allocating Volvo Standard Time & Straight Time as each job progresses
  • Liaisons with Parts Department to ensure sufficient stocks of the correct parts are available and supplied on time to the production area and to the relevant workstation.
  • As and when necessary Test driving and assessment & reporting on finish production quality and completion of relevant Quality check document.
  • Ensuring that all relevant Warranty Claim or Contract Claim displaced is correctly labelled and placed within the Warranty Material holding area.
  • Making recommendations with regard to overtime working. (NB it must only be authorized if the time will be fully productive and not compromise the workload of the following shift)
  • Workshop Productive Efficiency KPI.
  • Actively developing team play between Technicians, Foreman & Service Advisors.
  • Establishing & continuously reviewing productive staff’s knowledge skill attitudes and training needs from production statistics.
  • Making sure Workshop Facilities are kept clean and tidy and that equipment is in good condition reflecting the Volvo Dealer Standards and the Distributors own image of an efficient and Modern Retail Dealer.
  • Controlling, co-ordination and motivating Team as well as implementing Company Policy including discipline where applicable.
  • Leading by example you will ensure a high level of Health & safety performance within the area of responsibility.
  • To review processes and workings practices and implement improvements where appropriate.
  • To answer technical queries from both internal and external customers, referring them to other sources of information where appropriate.
  • To participate in ISO 9001 & ISO 14001 implementation throughout the organization and full cooperation in HSE implementation.

Educational And/or Training Qualifications And Certificates

  • Malaysian Skills Certificate or Diploma in Automotive Engineering or related field.
  • Formal training in leadership, communication and people skills
  • Competencies required, taken from the Volvo Leadership competencies (see competencies below)

Experience And Knowledge

  • Minimum 7 years’ experience within the commercial vehicle industry with 3 years’ experience within workshop management
  • Experience in managing both people & processes.
  • To be at all times a team player.

Technical / Functional / Language Skills

  • To be able to confidently communicate at all levels both written and verbally.
  • To be at all times have a flexible approach to work commitment
  • To be able to coach & provide support & guidance to his production team
  • To be able to adapt and take on new skills and approaches.
  • To have a consistent & proven ability in handling productive staff in terms of support motivation & discipline
  • Needs to have a good understanding of the Volvo Group Businesses
  • As all documentation is in English, proficiency in the English language is required.
  • Computer literacy and data entry skills
  • Strong customer service focus
  • Technical / mechanical skill knowledge
  • Exposure to a service / workshop environment (highly desirable)
