Job summary

INGENIOUS WORKS INTERNATIONAL (M) SDN BHD is seeking a Tender Executive to oversee end-to-end tender processes from pre-qualification to submission in Malaysia. You will coordinate with internal teams and external vendors to ensure compliant and competitive bids.

The role requires strong cost estimation, documentation, and negotiation skills, with responsibilities spanning RFIs/RFPs, site briefings, and post-tender handover to the project team.

Qualifications

• Experience managing tender processes from pre-qualification to submission.
• Knowledge of cost estimation and budgeting.
• Familiarity with RFIs, RFQs and RFPs.
• Ability to liaise with clients, vendors and subcontractors.

Responsibilities

• Responsible for all tender bids from pre-qualification to submission.
• Participate in site tender briefings, meetings and negotiations when necessary.
• Review tender documents to ensure estimations comply with regulations, industry standards, and company policies.
• Prepare, review and analyze RFIs, RFQs and RFPs with clients/vendors/subcontractors; provide contract cost summaries.
• Post-tender activities including kickoff report, project cost budget, catalogues and progress handover to project team.
• Check and manage variation orders/quotations prepared by project team.
• Attend technical/commercial and kickoff meetings if necessary.
• Assist in preparation of monthly progress claims and update finance for reports to Directors.
• Conduct market research to identify potential vendors and subcontractors.
• Handle tasks assigned by supervisor and perform additional assignments.

Job description

Responsible for all tender bid (from pre-qualification stage until submission) including preparation of pre-Q documents, to study scope of works, specification, drawings, taking off quantity & measurements, preparation of schedule of rates & technical data, bill of quantity and cost estimation to ensure complete submission before due date.

To participate in site tender briefing, meetings and negotiations when necessary.

To review tender bid documents and ensure estimations comply with relevant regulations, industry standards, and company policies. This may include understanding legal.

To prepare, review and analyze incoming/outgoing RFIs, RFQs and RFPs with clients/ vendors/ subcontractors and to provide contract cost summaries to Management and ensure contract execution including commercial negotiation in accordance with company policy.

Post tender preparation including, kick off report, project cost budgetary, catalogues and progress claim for handover to Project team.

To check and manage variation order / quotation prepare by project team.

To attend technical/ commercial and kick of meeting if necessary.

To assist in preparation of monthly progress claim and able to update finance for monthly financial report updates to Directors.

Conduct market research to identify potential vendors and subcontractors.

Handling any tasks assigned by immediate Superior as and when necessary and perform additional assignments as directed by management.
