Job summary

HTC Global Services MSC Sdn Bhd is seeking a Program/Project Coordinator to support large-scale programs, coordinating resources, financial activities, governance and program tools throughout the lifecycle.

You will work closely with program leads, internal stakeholders and external vendors to ensure smooth onboarding, cost tracking and documentation. Strong MS Excel/PowerPoint skills and stakeholder management are essential.

Qualifications

• Experience in a program, project coordination or PMO role.
• Hands-on experience coordinating resources, finances, documentation and governance.
• Strong stakeholder management and communication skills.
• Excellent organizational and coordination abilities with a proactive approach.
• Familiarity with MS Excel and PowerPoint.
• Ability to manage multiple priorities with internal teams and external vendors.
• Experience with program/financials forecasting, cost tracking and reconciliation (preferred).
• Experience with POs, invoicing, vendor management and contract variations (preferred).
• Familiarity with Workday, Planisware, ServiceNow or Dynamics 365 (preferred).
• PM qualification certifications (e.g., PMI, PRINCE2) preferred.

Responsibilities

• Coordinate onboarding/offboarding of consultants and project resources.
• Maintain resource information, including job changes and dates.
• Track resource cost forecasts against actuals and adjust vendor rates.
• Coordinate SOWs and variations with approval workflows.
• Liaise with Procurement and Legal on SOW/MSA reviews.
• Raise and track POs; manage vendor workbooks.
• Support monthly receipting, invoice reviews and reconciliations.
• Monitor costs against forecasts and raise discrepancies.
• Prepare and circulate weekly project/program status reports.
• Prepare governance materials and pre-reads for SteerCo.
