Job summary

AS JAYA MOTORSPORT SDN BHD invites applications for an Administrative role handling motorcycle spare parts. You will manage stock records, purchasing, sales documentation, and inventory control while coordinating with suppliers, mechanics, and customers.

Your duties include preparing invoices, purchase orders, delivery orders, and ongoing stock reporting; ensuring accuracy and timely updates across the system.

Qualifications

• Experience in spare parts, motorcycle workshops, automotive, retail, or administration is an advantage.
• Basic knowledge of motorcycle spare parts is preferred.
• Computer literate, especially SQL System, Microsoft Excel and Word.
• Good organizational and record-keeping skills.
• Careful, responsible, and detail-oriented.
• Good communication and teamwork skills.
• Able to work independently and manage multiple tasks.
• Fresh graduates are welcome to apply if they have a willingness to learn.

Responsibilities

• Manage daily administrative work for motorcycle spare parts.
• Record incoming and outgoing spare parts accurately.
• Maintain and update inventory and stock records.
• Prepare invoices, purchase orders, delivery orders, and related documents.
• Monitor stock levels and identify parts that need to be reordered.
• Coordinate with suppliers regarding quotations, orders, deliveries, and outstanding items.
• Assist the sales team and mechanics in checking spare parts availability and pricing.
• Enter and update spare parts information in the company system.
• Check received parts against purchase orders and delivery documents.
• Organize and maintain spare parts records and documentation.
• Handle customer inquiries regarding spare parts availability, prices, and orders.
• Prepare daily/weekly/monthly stock and sales reports.
• Assist with stock counts and resolve discrepancies between physical stock and system records.
• Perform other administrative duties assigned by management.
