Private Advertiser seeks a responsible Site Admin to support daily construction-site administration. You will work with the Site Manager, Project Manager, subcontractors and internal teams to maintain records, documents, and reporting.
Requirements include a minimum diploma, 1-3 years in construction site administration, and proficiency in Word/Excel. Willingness to travel to project sites and ability to handle multiple tasks are essential.
We are looking for a responsible, organised, and detail-oriented Site Admin to support the day-to-day administrative operations of our construction site. The successful candidate will work closely with the Site Manager, Project Manager, subcontractors, suppliers, and internal team to ensure site documentation, records, correspondence, material tracking, and administrative matters are properly maintained and updated.
Key responsibilities
Handle day-to-day site administrative duties, including documentation, filing, data entry, and record keeping.
Maintain proper and organized filing of site documents, correspondence, drawings, reports, submissions, and other project records.
Assist in preparing daily/weekly site reports, attendance records, progress updates, and other administrative reports.
Maintain and update site workers' attendance, manpower records, leave records, and relevant personnel documentation.
Coordinate and maintain records for material deliveries, delivery orders, purchase requests, site requests, and supporting documents.
Assist the site team in procurement coordination and material tracking, including following up with suppliers on deliveries and outstanding orders.
Handle incoming and outgoing site correspondence, emails, letters, transmittals, and documents.
Assist in tracking the status of drawings, submissions, approvals, inspections, and other project documentation.
Support the Site Manager and Project Manager with general site administration and documentation requirements.
Coordinate with suppliers, subcontractors, consultants, and internal departments when required.
About you
Minimum SPM / Diploma in Business Administration, Office Administration, Construction Management, or a related field.
1-3 years of relevant experience in construction site administration, project administration, or office support is preferred.
Fresh graduates with good organizational and computer skills may also be considered.
Good computer skills, particularly Microsoft Word and Excel.
Experience with document control, filing, reporting, and record keeping will be an advantage.
Good communication and interpersonal skills.
Organized, responsible, detail-oriented, and able to follow up on tasks effectively.
Able to manage multiple administrative tasks and meet deadlines.
Able to work independently as well as support a site/project team.
Willing to work in a construction site environment and willing to travel to project sites when required.
