Job summary

Guan Chong Cocoa Manufacturer Sdn Bhd in Malaysia is seeking a Shipping Executive to monitor and coordinate incoming shipments, cargo receipt, and related documents. The role requires maintaining accurate shipping records and ensuring compliance with procedures across departments and suppliers.

The ideal candidate has a Diploma or Bachelor's in logistics or a related field, 1–3 years of shipping experience, and proficiency with Excel to manage documentation, invoicing, and import/export

Qualifications

• Diploma or Bachelor's Degree in Logistics, Supply Chain Management, Business Administration, or a related discipline.
• Minimum 1-3 years of experience in shipping, logistics, import/export, or supply chain operations.
• Familiarity with shipping documentation, customs procedures, and international trade practices will be an added advantage.
• Proficient in Microsoft Excel and Microsoft Office applications.
• Strong attention to detail with excellent organizational and problem-solving skills.
• Able to work independently, patient and manage multiple priorities in a fast-paced environment.

Responsibilities

• Monitor and coordinate incoming shipments, ensuring timely receipt of cargo and shipping documents.
• Review, verify, and maintain shipment documentation for accuracy and compliance.
• Investigate and resolve shipment discrepancies, delays, or documentation issues with relevant stakeholders.
• Process, verify, and maintain customer POs accurately in the system.
• Track cargo movements from overseas warehouses and arrange the necessary import documentation.
• Prepare and issue invoices and related shipping documents, ensuring timely submission to customers and the Finance team.
• Verify supplier invoices against shipment records and contractual requirements.
• Monitor inventory levels and storage duration at ports and warehouses, providing regular reporting when required.
• Manage post-delivery issues, including coordinating debit notes (DN) and credit notes (CN) to ensure timely case closure.
• Update sales contracts and price fixation details in the ePMS system and ensure acknowledgements are properly recorded.
• Collaborate closely with internal departments, suppliers, freight forwarders, and customers to ensure seamless shipment execution.

Track cargo movements from overseas warehouses and arrange the necessary import documentation.

Prepare and issue invoices and related shipping documents, ensuring timely submission to customers and the Finance team.

Verify supplier invoices against shipment records and contractual requirements.

Monitor inventory levels and storage duration at ports and warehouses, providing regular reporting when required.
