Job summary

Acclime Malaysia is seeking a Senior Payroll Specialist to manage end-to-end payroll for multiple clients, ensuring compliance with Malaysian laws. You will serve as the primary contact for payroll matters and provide basic HR advisory support.

You will handle monthly payroll cycles, prepare reports, maintain records, and ensure timely statutory submissions to EPF, SOCSO, EIS, HRD Corp, PCB/MTD, and income tax. The role requires strong Excel skills and the ability to work independently.

Qualifications

• Diploma or degree in Human Resources or related field.
• Minimum 4 years of payroll experience, ideally with exposure to payroll outsourcing.
• Strong knowledge of Malaysian payroll processes and statutory requirements (EPF, SOCSO, EIS, HRD Corp, PCB/MTD, and tax submissions).
• Solid understanding of the Employment Act 1955.
• Experience handling end-to-end monthly payroll for multiple clients.
• Proficient in Excel and payroll software.
• Excellent client service, communication, and problem-solving skills.
• Ability to manage multiple deadlines and work independently.

Responsibilities

• Manage full payroll cycle for assigned clients, ensuring timely processing.

• Process new hires, terminations, salary adjustments, promotions, transfers and changes.
• Prepare and verify payroll reports for clients.
• Maintain accurate employee records in HR/payroll system.
• Review payroll reports before release to clients.
• Ensure timely submission of statutory contributions and deductions (EPF, SOCSO, EIS, HRD Corp, MTD).
• Prepare CP22/CP22A/CP21 submissions and Form EA/Form E assistance.
• Draft employment contracts and client invoices; maintain audit-ready documentation.

Acclime Malaysia is looking for Senior Payroll Specialist who is responsible for managing end-to-end payroll administration for multiple clients while ensuring compliance with Malaysian statutory requirements and employment regulations. This role serves as the primary point of contact for payroll-related matters, provides basic HR advisory support, and ensures the timely and accurate processing of payroll and statutory submissions.

Key Responsibilities:

Payroll Administration

• Manage the full payroll cycle for assigned clients, ensuring timely and accurate payroll processing.
• Process monthly payroll, including salaries, allowances, overtime, bonuses, commissions, claims, deductions, and final payments.
• Process new hires, employee terminations, salary adjustments, promotions, transfers, and other payroll-related changes.
• Prepare and verify payroll reports and ensure they are delivered to clients within agreed timelines.
• Maintain accurate employee records and payroll information in the HR/payroll system.
• Review payroll reports prepared by the Payroll Specialists before releasing them to clients.

Statutory Compliance

• Ensure timely and accurate submission of all statutory contributions and deductions, including Employees Provident Fund (EPF), Social Security Organisation (SOCSO), Employment Insurance System (EIS), HRD Corp Levy, Monthly Tax Deduction (MTD)
• Manage applicable income tax-related submissions such as CP22, CP22A & CP21
• Prepare annual employment income statements (Form EA) and assist with the submission of Form E.
• Ensure payroll activities comply with the Employment Act, Income Tax Act, and other applicable Malaysian employment legislation and statutory requirements.
• Monitor changes in payroll-related legislation and statutory requirements and ensure relevant updates are implemented accordingly.
• Serve as the primary point of contact for clients on payroll-related matters.
• Provide guidance on payroll administration, statutory compliance, and basic HR practices.
• Respond to client enquiries promptly and professionally while maintaining a high level of customer service.

Employment Documentation

• Draft employment contracts and employee handbooks with current employment legislation and company policies.
• Coordinate the stamping of employment contracts where required.
• Prepare and issue invoices to clients accurately and on time.
• Maintain accurate and organised payroll, statutory, and client documentation for audit and compliance purposes.
• Support continuous improvements in payroll processes, workflows and internal controls.
• Follow up with clients on outstanding invoices and support the collection of overdue payments.

Key Requirements:

• Diploma or Degree in Human Resources or a related discipline.
• Minimum 4 years of relevant payroll experience, preferably with exposure to payroll outsourcing / client payroll services.
• Strong knowledge of Malaysian payroll processes and statutory requirements, including EPF, SOCSO, EIS, HRD Corp, PCB/MTD and applicable income tax submissions.
• Good understanding of the Employment Act 1955 and other relevant Malaysian employment legislation.
• Hands-on experience in managing end-to-end monthly payroll for multiple clients or entities.
• Strong Excel and payroll system skills.
• Strong client management, communication and problem-solving skills.
• Able to work independently, manage multiple deadlines and support junior team members.
