MAE Global Sdn Bhd is a direct sales and agent-based company headquartered in Puchong, Selangor. With a lean team of under 20 internal staff and an agent network of 100-200+ people, we are transitioning from founder-led operations to structured, system-driven management. This role is central to that transformation.
The Role
We are hiring our first dedicated HR professional — a Senior HR Executive who can assess what the company needs, recommend the right approach, and execute it independently. This is not an admin role. You will build our entire HR framework from the ground up: recruitment processes, onboarding systems, performance management, employee handbook, and compliance procedures.
You report directly to the General Manager. There is no HR department above you — you are the department.
Key Responsibilities
Recruitment & Talent Acquisition
- Build standardised recruitment processes from job analysis through to offer
- Design interview evaluation frameworks and competency models
- Manage recruitment channels (JobStreet, social media, referrals)
- Standardise offer letters and employment contracts
Training & Development
- Design onboarding workflows (Day 1 through to Month 1)
- Build role-specific training plans and development pathways
- Coordinate internal and external training programs
- Track training effectiveness and maintain records
Performance Management
- Recommend and implement KPI frameworks and evaluation criteria
- Design probation reviews, quarterly and annual performance review processes
- Build Performance Improvement Plan (PIP) procedures
- Link performance outcomes to compensation and progression
Policy, Compliance & Employee Relations
- Draft Employee Handbook from scratch
- Establish company policies: attendance, leave, disciplinary procedures, grievance mechanisms
- Ensure full compliance with Malaysian Employment Act 1955 and Industrial Relations Act 1967
- Handle disciplinary matters (Show Cause Letters, Domestic Inquiry) and exit processes
HR Administration
- Manage employee records, contracts, and compensation data
- Coordinate statutory contributions: EPF, SOCSO, EIS, PCB
- Administer employee benefits
AI & Systems Integration
- Use AI tools (ChatGPT, Claude, Copilot or similar) to streamline HR operations
- Identify opportunities to automate repetitive HR tasks
- Build efficient documentation and reporting workflows using modern tools
Requirements
Must-Have:
- Diploma or Degree in Human Resource Management, Business Administration, or related field
- -8 years of hands-on HR experienceExperience working independently in an SME environment (under 50 headcount) is strongly preferred
- Proven track record of building HR systems from scratch — must have completed at least 2 of the following: Employee Handbook, Recruitment SOP, KPI Framework, Training System
- Strong knowledge of Malaysian Employment Act 1955 and Industrial Relations Act 1967
- Fluent in Chinese and English (spoken and written)
- Proficient in using AI tools for daily work — not just familiar, but actively using them
Nice-to-Have:
- Experience in direct sales, retail, or FMCG industry
- Familiarity with HRDF training fund applications
- Experience with HR systems such as Kakitangan, BrioHR, or Employment Hero
- Experience handling Domestic Inquiry and industrial disputes
