Meili Resort Hotel Sdn Bhd in Sabah is seeking an experienced Executive Assistant to the General Manager to provide comprehensive support and coordinate daily operations of the Executive Office. The role acts as a central liaison between the GM, Executive Committee, Heads of Department, ownership representatives and external stakeholders, ensuring timely, accurate information and smooth decision making.

The Executive Assistant to the General Manager / Executive Office Coordinator provides comprehensive executive support to the GM while also coordinating the day-to-day administrative operations of the Executive Office.
In addition to traditional EA responsibilities, the position acts as a central coordination point between the GM, Executive Committee, Heads of Department, ownership representatives, corporate office and external stakeholders.
Manage and protect the GM's calendar and daily schedule
Coordinate all internal and external appointments
Prepare daily briefing schedules for the GM
Organise meetings, conference calls and business appointments
Prepare presentations, reports, correspondence and briefing documents
Manage incoming correspondence and prioritise matters requiring GM attention
Coordinate the daily administration of the Executive Office
Maintain an effective filing and document-control system
Maintain the GM's correspondence and action-item tracker
Monitor deadlines and follow up with relevant departments
Coordinate Executive Committee meetings
Coordinate meetings involving the GM and HODs
Collect reports and presentation materials from departments
Consolidate departmental submissions for management meetings
Coordinate communication between the GM and owners/investors
Assist in preparing owner presentations and reports
Coordinate information requested by corporate management
Coordinate VIP guest arrangements with relevant departments.
Prepare VIP briefing notes for the GM
Maintain VIP, owner and key stakeholder information
The EA may be assigned to monitor special projects initiated by the GM, such as Resort opening projects, Renovation projects, New facilities, SOP implementation etc.
Arrange flights, accommodation and transportation
Prepare detailed travel itineraries
Coordinate overseas/domestic business appointments
The position acts as a professional communication channel between the GM and Executive Committee, HODs, Resort employees, owners, corporate office etc.
The position will have access to highly confidential information, including: Financial information, management reports etc.
Experience: Minimum of 3 to 5 years of relevant experience supporting senior leadership.
Education: Bachelor’s Degree in Business Administration, Management, or a related field is often preferred.
Technical Proficiency: Advanced command of Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), cloud systems, and virtual calendar platforms.
Core Competencies: Exceptional time management, proactive problem-solving, and superior written and verbal communication skills.
Communication Skills: Strong Chinese & English written/speaking communication skills, with the ability to draft clear emails, professional reports, and concise updates for internal and external stakeholders.
