Job summary

Legasi Senada Sdn Bhd is seeking an Operations Officer in Malaysia to manage daily security and operations workflows. You will monitor staff attendance, review schedules, allocate duties, coordinate with departments, and ensure SOPs, safety, and quality requirements are followed.

You will also conduct weekly and monthly reviews of KPIs, inventory, costs, and customer feedback, preparing reports for management. Urgent issues, replacements, audits, and management reporting are part of the role.

Job description

Daily Tasks

• Check staff attendance and manpower requirements.
• Conduct a brief operational meeting with the team.
• Review daily work schedules and allocate duties.
• Monitor ongoing operations and staff performance.
• Check stock, equipment, facilities, and operational requirements.
• Follow up on pending customer requests or complaints.
• Resolve day-to-day operational problems.
• Ensure SOP, safety, and quality requirements are followed.
• Coordinate with other departments on urgent matters.
• Review completed work and outstanding tasks.
• Prepare or update the daily operations report.
• Report major issues to the Operations Manager.

Weekly Tasks

• Review staff performance and attendance.
• Review operational KPIs and productivity.
• Check inventory and identify shortages or excess stock.
• Review customer complaints and feedback.
• Conduct operational inspections.
• Follow up on maintenance and repair issues.
• Identify areas for cost reduction and efficiency improvement.
• Conduct team briefings or training where necessary.
• Review pending tasks and prepare the following week's plan.
• Submit a weekly operations report to management.

Monthly Tasks

• Prepare the monthly operations performance report.
• Review departmental KPIs and targets.
• Analyse operational costs and wastage.
• Review staff performance and manpower requirements.
• Review inventory usage and purchasing requirements.
• Evaluate customer satisfaction and recurring complaints.
• Review SOP compliance and recommend improvements.
• Assist with monthly meetings and management reporting.
• Develop action plans for operational problems.
• Assist the Operations Manager in setting targets for the following month.

Emergency / Ad-Hoc Responsibilities

• Respond to urgent operational issues.
• Arrange replacement staff when there are unexpected absences.
• Coordinate emergency maintenance or repairs.
• Handle escalated customer complaints.
• Support management during audits, inspections, or special events.
• Perform other reasonable duties assigned by management.
