Job summary

MNC is seeking an Operations Assistant for Sea Freight Billing in Malaysia to support invoicing and billing processes across internal teams and overseas network offices.

You will generate invoices, verify data, coordinate with Operations, Sales, Finance, customers, and vendors, and ensure timely billing in line with KPIs; fresh graduates are encouraged to apply. Diploma or degree in logistics or related fields is preferred.

Qualifications

• Diploma or Bachelor's Degree in Logistics, Supply Chain, Business Administration, Finance, Accounting, or a related field.
• Fresh graduates are encouraged to apply.
• Prior experience in logistics, freight forwarding, shipping, invoicing, billing, or administrative operations is an added advantage.
• Proficient in Microsoft Office applications, particularly Excel.
• Strong attention to detail with high accuracy in data entry and documentation.
• Good communication and coordination skills.
• Ability to multitask and work effectively in a fast-paced environment.
• Positive attitude, willingness to learn, and strong teamwork skills.

Responsibilities

• Generate and process customer invoices accurately using internal billing systems.
• Verify and reconcile billing information against supporting documentation.
• Coordinate with Operations, Sales, Finance, customers, and vendors to resolve billing-related matters.
• Ensure timely invoicing of shipments in accordance with company KPIs and procedures.
• Maintain accurate shipment costs and manage supplier invoices.
• Process Cash on Delivery (COD) payment requests with the Finance team.
• Prepare credit notes and profit-sharing invoices where applicable.
• Update and maintain billing data across internal and external systems.
• Ensure compliance with customer-specific requirements, internal policies, and operational procedures.
• Upload and maintain shipment documentation in company systems.
• Support departmental projects and continuous improvement initiatives.
