Key Responsibilities
- 1. Agency Liaison & Viewing Coordination
- Serve as the main point of contact for external real estate agencies and negotiators (RENs).
- Manage unit viewing arrangements, access pass issuance, key allocation, and smart lockbox access.
- Distribute the latest inventory updates, sales packages, marketing materials, and rental guidelines to partner agencies.
- Gather and consolidate ground-level feedback from agencies regarding buyer sentiment and market trends.
2. After-Sales Service & Customer Support
- Act as the dedicated point of contact for buyers post-SPA signing, managing inquiries, requests, and concerns.
- Provide proactive updates to owners regarding handover schedules, renovation milestones, and site progress.
- Handle customer complaints and escalations professionally, coordinating with relevant teams for swift resolution.
- Guide and assist owners with utility transfers (TNB, Water accounts), access card registrations, and smart door lock setups.
3. End-to-End Sales & Project Flow Tracking
- Liaise with the internal Sales Admin, legal firms, and panel bankers to monitor key transaction milestones.
- Maintain a comprehensive tracking master list for unit lifecycles (Booking ➔ SPA ➔ Loan Disbursement ➔ VP ➔ Renovation ➔ Move-in).
- Ensure operational bottlenecks are identified and resolved promptly.
4. Vacant Possession (VP) & Defect Rectification
- Coordinate and execute Vacant Possession (VP) appointments and key handovers for property owners.
- Collect and log defect inspection checklists (Defect Form), liaise with contractors/maintenance teams for rectifications, and schedule joint re-inspections.
5. Renovation Monitoring & Unit Maintenance
- Monitor on-site renovation and furnishing progress to ensure contractors meet timeline and quality standards.
- Facilitate renovation permit submissions, work deposits, and contractor compliance with the Building Management Office.
- Conduct regular walk-throughs of vacant and completed units to inspect cleanliness, electrical fixtures, air conditioning, and plumbing, keeping units viewing-ready and movein ready.
Requirements
- Education/Experience: Diploma or Bachelor’s Degree in Business, Real Estate Management, Hospitality, or equivalent. Minimum 1–2 years of working experience in Property Development, Real Estate Agency operations, Co-living/Airbnb management, or Customer Care.
- Skills: Excellent organizational and time-management skills with high attention to detail and process tracking.
- Languages: Proficiency in English and Mandarin (to liaise with Mandarin-speaking buyers and agencies); conversational Bahasa Malaysia is preferred (to liaise with contractors and building management).
- Attributes: Strong problem-solving mindset, patient, adaptable, and customer-service oriented.
- Mobility: Must possess own transport and be willing to work on-site at Youth City, Bandar Baru Nilai.
